We’re hiring our first Chief of Staff to own the backbone of how Evertune runs day-to-day. You’ll work closely with our CEO, COO, and CFO, as well as our sales, client services, and talent acquisition teams, to ensure that finance, people, and operations run smoothly as we scale.
This is a hybrid role at the intersection of finance, operations, and people. One day you’re reconciling usage data to generate client invoices, the next you’re onboarding a new hire or wrangling vendors to get an office issue fixed. You’ll also help invent and refine processes – we’re still early, and a big part of the job is building better ways to do things.
We’re looking for someone fearless, proactive, and highly communicative – someone who isn’t afraid to ask questions, push for answers, and keep projects moving in a fast-paced, agile startup environment.
This role requires a minimum of 3 days per week onsite in our NYC office in the Flatiron neighborhood. Candidates must currently be based in the New York City area.
Finance & Billing (Top Priority)
This is the core of the role: you’ll own and build the financial processes that keep Evertune running. In a fast-paced, early-stage environment, you won’t just manage billing and commissions – you’ll design the workflows that make them scalable.
Own AP/AR and client billing across Stripe, Ramp, QuickBooks, and Excel
Reconcile client usage reports (from internal dashboards) into accurate invoices
Manage client billing systems (Bill.com, Coupa, Tipalti) to ensure timely payments
Partner with our CFO to support month-end close and financial reporting
Build scalable processes for billing, commissions, and reconciliations from the ground up
Operations & Vendor Management
Manage vendor relationships across office, IT, finance systems, and SaaS tools
Handle insurance renewals, state tax compliance, and contracts with support from leadership
Create and document repeatable processes across reporting, compliance, and vendor management
People Ops & Office Management
Own employee onboarding end-to-end: set up payroll and benefits in Justworks, provision laptops, and ensure access to Gmail, Slack, Zoom, and other core tools
Manage benefits administration, compliance tasks, and employee records
Handle light office management needs (supplies, hardware, IT coordination, office services and supplies)
Ensure every new hire has a seamless Day 1 experience with the right tools, equipment, and support
Cross-Functional Enablement
Partner with sales and client services to confirm usage, billing details, and client reporting
Keep leadership informed with proactive communication and status updates
Spot inefficiencies and make recommendations to streamline operations
Proven track record owning finance operations (AP, AR, billing, commissions) in a fast-paced, high-growth environment
Hands-on experience with billing and finance tools (e.g., Stripe, Ramp, QuickBooks, Bill.com, Coupa, Tipalti)
Strong proficiency with Excel/Google Sheets and ability to manipulate CSV data for billing and reporting
Demonstrated ability to build processes from scratch (not just follow them) – especially in billing, reconciliations, and financial reporting
Familiarity with HRIS platforms (e.g., Justworks) and onboarding workflows
Comfort managing a wide range of vendors, from SaaS platforms to insurance and office providers
Excellent communication skills – clear, proactive, and confident across teams and levels
Self-starter who thrives in ambiguity and enjoys balancing strategic projects with tactical execution
Comfortable wearing multiple hats in an early-stage startup environment

Our salary ranges are based on paying competitively for our size and industry. Salary is just one part of our total compensation package that includes equity, perks & benefits, and development opportunities at Evertune AI. Individual pay decisions are based on several factors, including qualifications for the role, experience level, skillset, geography, and balancing internal equity relative to other Evertune AI employees. It is our expectation that the majority of candidates who are offered roles at Evertune AI will land well within our salary ranges based on these factors.
The expected annual base salary for this role is between $100,000–$120,000. Stock options are also included as part of the total compensation package and will be commensurate with the candidate’s experience and impact.
