The European University of Social Sciences brings together ten leading European higher education institutions in the social sciences. CIVICA aims to build an inter-university campus that provides joint and long-lasting opportunities in teaching, research and innovative learning, while enhancing academic excellence and facilitating civic engagement in Europe and beyond. Selected by the European Commission as one of the pilot European Universities in 2019 and confirmed for its full roll-out in 2022 under the Erasmus+ programme, CIVICA represents a forward-looking initiative at the heart of European collaboration. As Coordinator for the CIVICA alliance at IE University, you will play a key role in driving IE’s engagement within the alliance. This is a unique opportunity to contribute to impactful European projects in education, research, and society. You will join a dynamic and international team and apply your organizational and communication skills to help shape European cooperation in higher education

Responsibilities

 

Responsibilities

Your role as Coordinator will involve:

  • Support the coordination and smooth implementation of the CIVICA project through effective administrative and project management tasks.
  • Use Microsoft SharePoint to manage documents and project workflows.
  • Organize and participate in meetings with internal stakeholders and external partners, ensuring timely delivery and full engagement.
  • Handle travel arrangements and expense reporting.
  • Support budget management across several projects and funding streams.
  • Communicate project goals, timelines, and concepts clearly across teams, ensuring alignment with broader strategic objectives.
  • Collaborate closely with internal departments and CIVICA partners to maintain an integrated and well-informed approach across all activities.
  • Ensure compliance with institutional, national, and European regulations and uphold the highest standards of accountability, transparency, and data protection in all tasks.

Qualifications

To thrive in this role, you should possess the following qualifications:

  • Bachelor’s degree.
  • Minimum of two years of professional experience.
  • Full professional fluency in English and Spanish (both written and spoken).
  • Strong command of Microsoft SharePoint, Excel, and PowerPoint.
  • Experience with travel booking tools (e.g., Cytric) and expense management systems (e.g., Microsoft Dynamics).
  • Excellent organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Proven experience working with project management processes; familiarity with Agile tools and methodologies is a plus.
  • Previous experience working on European funded programmes (e.g., Erasmus+, Horizon Europe, EACEA) will be considered a strong asset.
  • A proactive attitude, ability to work autonomously, and a genuine interest in global partnerships and European cooperation.
  • Strong interpersonal skills and ability to work in multicultural, collaborative environments.
  • Strong commitment to compliance and quality standards in the management of European projects.
