Job Summary

The Facilities Team Coordinator plays a vital role in supporting the full scope of Facilities operations, including reception, logistics, satellite co-working space coordination, and general administrative functions. This position is key to maintaining a clean, safe, and welcoming hybrid workplace prioritizing health, safety, and respect for all staff and visitors.

Reporting to the Director of Facilities, the Facilities Team Coordinator manages front desk operations—such as welcoming guests, directing calls, and coordinating deliveries—while also providing logistical support for office events, in-office days, and special projects. The role works in close partnership with the Facilities team and collaborates across departments to ensure seamless and efficient daily operations.

 

 

Essential Duties and Responsibilities   

  • Serve as the first point of contact for visitors and staff, creating a welcoming, professional, and supportive environment.
  • Ensure workplace safety by maintaining and enforcing security and health protocols.
  • Manage incoming inquiries and direct them appropriately, ensuring timely and accurate communication.
  • Oversee office organization and upkeep, maintaining a clean, well-stocked, and efficient workspace.
  • Coordinate mail handling and serve as backup for time-sensitive correspondence for key departments.
  • Collaborate with team members to monitor and maintain inventory; liaise with vendors to ensure high-quality service and smooth daily operations.
  • Support the Facilities Director with calendar and scheduling, emergency preparedness planning, resource management, and response coordination.
  • Coordinate satellite office reservations, and all related support including logistics.
  • Provide logistical and operational support for internal and external meetings, events, and special projects.
  • Partner with the Facilities Director on departmental priorities, strategic initiatives, and process improvements
  • Champion diversity, equity, inclusion, and belonging (JEDI) initiatives, fostering a positive and inclusive workplace culture.
  • Assist with planning and executing in-office and offsite events—such as Collab & Connect days, holiday celebrations, and other staff gatherings.
  • Collaborate with team organizing and supporting volunteer and community engagement initiatives.

Required Qualifications

  • Commitment to ClimateWorks’ Mission and willingness to uphold ClimateWorks’ Values and support of office culture
  • 2+ years’ experience in an administrative/office support role
  • Attention to detail and strong organizational skills
  • Demonstrated proficiency in MS Word, Excel, PowerPoint, and Outlook
  • Demonstrated proficiency with Windows operating systems, knowledge of Macs helpful
  • Internet savvy, ability to conduct fast and efficient web-based research
  • Ability to communicate effectively with individuals working from remote locations
  • Ability to handle sensitive information confidentially
  • Willingness to work under pressure, prioritize, multitask and focus while maintaining a sense of humor and humility

Compensation

ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location).

Salary Range: $70,000-$78,000.

Location

ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as SF-Based and in person, with the option of one hybrid (remote) workday per week.
