Role Overview:
The International Civil Society Week Intern position is an exciting opportunity to be involved in CIVICUS’ flagship civil society event, to be held in Bangkok, Thailand, in November 2025. This internship provides a valuable opportunity to gain hands-on experience in event logistics, coordination with stakeholders, participant support, communications, and evaluation. The intern will play an integral role in ensuring that operational and logistical details are implemented effectively, contributing to smooth and impactful event delivery.
Areas of Responsibilities & Key Activities
Pre-Event Planning & Coordination
•Assist with developing and maintaining event workplans, timelines, and checklists. •Support venue and vendor research (catering, A/V, printing, accommodations, etc.).
•Help with scheduling and coordinating meetings with internal teams and external stakeholders.
•Assist in preparing event documentation including briefing notes, concept notes, and logistics memos.
Participant management
•Assist with setting up and managing registration systems & databases
•Track and organise participant information, including travel and visa details (if applicable)
•Provide timely responses to participant queries and troubleshoot issues
•Support the coordination of travel and accommodation logistics, including preparation of travel support documents Event communications
•Draft of assist with writing promotional materials such as event invitations, social media posts, and email announcements
•Support content updates on event web pages or platforms
•Assist with the preparation of event materials, such as badges, programmes, handouts, and signage Virtual and on-site event support
•Assist with technical setup and live support for virtual or hybrid sessions
•Support the coordination of the event flow, including speaker and session briefings
•Provide on-the-ground support (e.g. help desk, managing logistics staff, volunteers) Post-Event activities
•Assist in preparing post-even surveys and gathering participant feedback
•Help compile debrief notes and evaluation reports
•Support the documentation and archiving of event materials, recordings and outcomes.
Person Specification
Education, Language & Qualifications
•Fluency in English and Thai
•A diploma or bachelor’s degree in a relevant field Essential Knowledge, skills and Experience
•Strong organisational and time-management skills
•Good interpersonal and written communication skills
•Comfortable with digital tools (e.g. Teams, Zoom, Sharepoint, Google workspace) •Attentional to detail and ability to work on multiple tasks simultaneously
•Commitment to social justice, equity & inclusion
•Proactive, adaptable and eager to learn
Desirable Knowledge, skills and Experience
•Experience in organising events
•French and/or Spanish would be an advantage
