CorpsAfrica has steadily expanded its operations from Morocco to Senegal, Malawi, Rwanda, Ghana, Kenya, Ethiopia, Uganda, Gambia and South Africa. Having successfully proven the power and effectiveness of the model, CorpsAfrica has begun receiving significant funding from major donors. As we reach a significant inflection point leading to future expansion, we are seeking to add motivated, skilled, and highly effective staff to our team in Malawi.

OVERVIEW OF THE POSITION:

The Training Assistant supports the Training Manager/Officer in coordinating and implementing CorpsAfrica’s training events, including Volunteer trainings (Pre-Service Training (PST), In-Service Training (IST), and Close of Service (COS)), virtual trainings, staff trainings, community trainings, and Development Partners trainings. Key responsibilities include managing logistics, assisting with financial tracking, coordinating Volunteer support, and preparing training materials. The Training Assistant also ensures training resources are well-maintained, supports Volunteer site visits, and helps with reporting and documentation. This role requires strong organizational skills, attention to detail, and the ability to support the smooth operation of training programs effectively.
 

Reporting to: Training Manager.

Specific Responsibilities: 

Logistics, Administrative, and Financial Support

  • Coordinate event logistics, including venues, accommodations, transportation, schedules, and supplies.
  • Supervise training venue setup and ensure all facilities are prepared.
  • Assist the Training Manager/Officer with training arrangements including communication with participants, staff, and venue coordinators.
  • Manage logistical support for travel, social events, and community-based training activities.
  • Support budget preparation, expense documentation, and disbursement systems.
  • Work with the Bookkeeper and Training Manager/Officer to ensure accurate financial records and timely reimbursements.

Volunteer Support

  • Assist the Training Manager/Officer in the coordination and support of the homestay program during PST.
  • Conduct community based training (CBT) visits and site visits to Trainees and Volunteers as needed.
  • Review and support CorpsAfrica policies in relation to Volunteers and Trainees.  Provides Volunteers and Trainees with guidance on CorpsAfrica Policy.
  • Follow post policies addressing Volunteers’ safety and security and provide support and guidance directly to Volunteers in order to help them manage their own safety.
  • Visit Volunteers in the field to assess the impact of training on Volunteers.

Training Support

  • Help the Training team to ensure the preparation and planning for all training events following a comprehensive plan/checklist developed in conjunction with all staff involved in each event.
  • Assist in facilitating training sessions and practical activities.
  • Assist with managing Alumni who are supporting training, including session information, topic assignments, and logistics for travel and lodging.
  • Ensure training venues are prepared, equipment is set up, and supplies are ready for use.
  • Serve as the on-site coordinator during training events.

Materials, Resource Management, and Reporting

  • Maintain organized records of training documents, including schedules, session outlines, handouts, and evaluations.
  • Keep an updated list of training staff, alumni, and partners, ensuring positive relationships and accurate contact information.
  • Manage inventory and storage systems for supplies and equipment, ensuring availability.
  • Prepare training materials, including supply lists and printed documents, as needed.
  • Ensure all training materials are stored in country-specific folders in Google Workspace for easy access.
  • Assist in reporting on training, project achievements, and challenges.
  • Support staff in compiling Volunteer and Trainee assessments, distributing results to relevant teams.
  • Keep country-specific training folders updated, including Coordinator’s Guides, deadlines, and training documentation.

Monitoring and Evaluation

  • Participate in training sessions and workshops related to Monitoring and Evaluation.
  • Collaborate with the M&E Officer to ensure that the training data is accurately documented and reported.

Qualifications:

  • University degree
  • At least two years of relevant experience
  • Excellent facilitation skills
  • Strong report-writing skills
  • Excellent communication and interpersonal skills
  • Excellent professional speaking, writing, presentation skills in the local language of the country and English
  • Excellent computer skills (Word, Excel, Access, PowerPoint, and all Google Docs)
  • Detail-oriented with strong organizational abilities
  • Ability to work independently and as part of a team
  • Adaptability and a willingness to learn
  • Creativity and innovation
  • Successful completion of a one-year Volunteer service with CorpsAfrica
  • Proficiency in data collection tools
  • Basic understanding of Monitoring and Evaluation concepts
