Responsibilities Include:
Contract Administration & Compliance (50%)
Manage the preparation, redlining, approval routing, and execution of contracts with Explorers and clients, ensuring compliance with organizational policies
Execute process for vetting client sponsor requests, ensuring compliance with all contractual and organizational policies
Review and approve venue marketing materials to ensure alignment with contractual obligations, brand guidelines, and institutional standards
Coordinate with the Finance team to ensure timely billing, invoicing, and receipt of all contractual payments in accordance with agreement terms
Client Relationship Management (30%)
Serve as the point of contact for clients from contracting to handoff to the event advance team, ensuring consistent communication and fostering long-term relationships
Work closely with the marketing team to develop promotional materials and campaigns tailored to specific client needs and regional markets
Collaborate with client to implement promotional strategies, including use of member discount codes and audience engagement tools
Program Coordination & Administrative Support (20%)
Collaborate with internal teams to coordinate logistics for events, including scheduling, staffing, and resource allocation, ensuring seamless execution
Monitor and report on key performance indicators (KPIs) related to client satisfaction, program attendance, and revenue, providing insights for continuous improvement
Help implement and maintain departmental processes and tools to improve booking and contracting workflows and consistency.
Maintain booking documentation, CRM, and event databases (including Pollstar).
What You’ll Bring
Educational Background
Bachelor’s degree preferred
Minimum Years and Type of Experience
3+ years of professional experience in contract administration and client relationship management.
Selection Criteria
Strong organizational skills with a track record of managing complex processes involving multiple stakeholders
Familiarity with brand standards and marketing best practices, particularly in live events, cultural institutions, or venue-based settings
Effective written and oral communications skills
Proficiency in Nonprofit Cloud, Monday.com, Google Office, Microsoft Office Suite, Keynote and ticketing software is desired
Astute attention to detail
Ability to manage competing priorities and multitask while under tight deadlines
Desired Qualifications
Experience working in a museum, cultural institution, or non-profit setting
Experience in legal administration or compliance workflows is a plus

Salary Information
The National Geographic Society offers a competitive and holistic total rewards package. Our compensation structure and transparent pay philosophy are based on industry-specific market data for similar-sized nonprofit organizations.
The salary range for this position accounts for a wide range of factors including but not limited to organizational need; specific skill sets; experience and training; certifications; and more. At the National Geographic Society, individuals are typically hired at or near the starting point of the salary range for their role, and compensation decisions are dependent on the facts and circumstances of each case.

Job Designation
Hybrid - At the Society, we believe in the advantages of coming together to build community, mentor and learn from colleagues, and connect more deeply with our mission. As a result, the majority of our staff are Hybrid. Our Hybrid category requires that staff work at Base Camp two days each week: every Tuesday and Wednesday. Hybrid staff are also always welcome to come in additional days each week if preferred.Candidates must be legally authorized to work in the United States.
