The Accounts Assistant is to provide assistance in Accounts and administrative work for the Trickle Up India Foundation, responsible for preparation of vouchers, facilitating the process of making evidence of expenditure, preparing cheque for payments, making documentations for the payments, making accounting entries of all the transactions. He/ She will be responsible for taking over all the related administrative work, logistical work and general operational support. This position plays a critical role in the financial and administrative management of Trickle Up India Foundation.

Principal functions

Finance & Accounts:

  • ·        Settlement of various payments/ claims after checking/ verification and processing payments.
  • ·        Manage and maintenance of petty cash accounts and petty cash book.
  • ·        Updating accounting data in the system.
  • ·        Preparing Bank Reconciliation Statements on monthly basis.
  • ·        Necessary deduction and deposits of TDS, P. Tax on time.
  • ·        Facilitation in preparing the monthly financial reports / donor reports.
  • ·        Keeping all financial records in order with support.
  • ·        Preparation of various contracts.
  • ·        Involved in Audit and compliance of audit comments.
  • ·        Visiting other Trickle Up Offices (in Odisha and Jharkhand) as and when required.
  • ·        Visiting various field area of trickle Up for various operational cum programmatic purpose.
  • ·        Visiting banks for operational issues.
  • ·        Maintenance of Asset Register.

Administration:

  • ·        Manage records and maintain effective document management infrastructure.
  • ·        Maintain and update contact details and manage incoming/ outgoing calls, communication.
  • ·        Handle the purchases of office supplies and stock maintenance.
  • ·        Assist the procurement processes and asset management for the regional office.
  • ·        Stock/ Inventory management including tagging of assets.
  • ·        Preparing Consultants’ leave register maintaining their leave records.
  • ·        Support team in preparing meeting minutes, presentations and other communication materials.
  • ·        Support office for AMC/ IT services etc.

Logistical Support:

  • ·   Providing logistic support in every aspect for organizing various meetings, training, seminar, workshop etc.
  • ·        Running the company reception area and offering a warm and friendly welcome to any visitors
  • ·        Work within a busy office environment, and support office teams in order to ensure the smooth running of day-to-day activities
  • ·      Maintain and replenish inventory and Assets management, check stock to determine inventory levels & anticipate needed supplies, verify receipt of supply, Co-ordinate with agencies, organizations and groups
  • ·  Preparing of Purchase Order and Bid Analysis for Procurement and maintenance of office equipment’s/furniture/fixtures etc. to ensure their serviceability and AMC
  • ·       Issue of stationery to various divisions and maintain their proper records and maintenance of sundry eqpt like mobile phone, telephone etc.
  • ·        To ensure general attendance of personnel and update leave board.
  • ·        Adhere to policies and regulations
  • ·        Manages daily office operations, negotiates vendor contracts, manages vendor relationships
  • ·        To check suppliers’ bills and forward only authorized bills to accounts dept for payment.
  • ·        Vendor contract, Renewal of contracts, AMC of contracts, Bills verification, Follow up of Bills.
  • ·        To deal with vendors/service providers like suppliers, courier, manpower consultants etc.
  • ·   To ensure general office maintenance like, housekeeping, pest control, hygiene, electrical and mechanical, sanitary and plumbing, space management, minor repairs (Carpentry, masonry, furniture, painting etc.).
  • ·   To maintain proper record of organization assets issued to any personnel and ensure assets accountability.
  • ·        Checking Traveling, Conveyance, Telephone/Mobile Phone Exp bills etc, ensure control and timely payment of the same after approval of the competent authority.
  • ·        Arrangement of local transport as needed for Staff/ TU purpose
  • ·        Opening and closing of office.
  • ·        Arrangement of food for the visitors/ staff on request.

Qualifications

Education requirements

  • ·        Completed a course on Computer Application on Accounts
  • ·        B. Com (Honors)

Experience requirements

  • ·        Approx. 3 to 5 years of experience in development sector 

Knowledge and skills

  • ·        Strong, developed knowledge in accounting software (i.e. Tally ERP Version)
  • ·        Effective as a team player.
  • ·        Writing and speaking skills in English, Bengali and Hindi.
  • ·        Well able in written and oral communications and presentation skills.
  • ·        Highly organized and analytical thinker.
  • ·        Self-starter with strong initiative.
  • ·        Proactive, creative problem-solver; and
  • ·        Flexible and productive under pressure.

Salaries & Benefits

  • ·        CTC would be Rs. 6.17 Lakhs per annum (depending on present salary, experience etc.)  (including all other benefits).
