Overview
While our Systems Director is on leave, In Tandem is seeking a part-time contractor to manage our Activity Pipeline and its associated operational and technical work. This role ensures that our systems, workflows, and communications continue to function smoothly, with attention to detail, safety, and data integrity.
The ideal contractor is a detail-oriented operations or project coordinator who thrives in maintaining systems, ensuring process consistency, and supporting a youth-centered team environment.
Candidate Profile
- 2–4 years of experience in project management, program coordination, or operations roles. Experience in youth programs, education, or nonprofits preferred.
- Proficiency with Qualtrics with ability to program, manage data, export, and manage other tasks on the platform
- Proficiency with Asana (or a similar project management tool) and collaboration platforms.
- Strong attention to detail and ability to balance big-picture context with day-to-day execution.
- Attentive to data security and youth safety considerations.
- Ability to manage recurring tasks, identifying exceptions, and supporting audits.
- Reliable and steady: Keeps operations moving with minimal supervision.
- Adaptable to evolving systems and workflows.
- Youth-centered orientation to support focus on rigor, safety, and care.
Key Responsibilities
1. Support Operational Excellence
- Maintain and manage the Activity Pipeline through Asana or equivalent systems.
- Build and maintain subtasks, ensure project hygiene, and track progress across multiple workflows.
- Uphold daily/weekly rhythms (standups, Asana cleanup, recurring reviews) with consistency and accountability.
- Prioritize tasks effectively, knowing when to escalate issues — especially those related to youth safety, data protection, or wellbeing.
- Support data tracking and audits; update spreadsheets, trackers, and light reporting.
2. Proficiently Utilize Existing Tools
- Required tools:
- Qualtrics: Build and monitor surveys + activities; manage contact lists, duplicates, and opt-outs.
- Asana: High proficiency; able to create, assign, and monitor workstreams.
- Slack: Manage channels, threads, and async communications
- Zoom / Cloud storage: Archive and delete recordings as needed.
- Google Drive: Manage permissions and organize shared files.
3. Attend to Details
- Update and maintain documentation (scoping docs, closeout steps, and audit records).
- Review and triage flags or incidents using internal rubrics.
- Handle sensitive data securely and uphold privacy and youth safety standards.
- Escalate issues to the Chief Product Officer (CPO) or other leaders as needed.
4. Communicate & Collaborate
- Provide clear, concise updates via Slack and Asana.
- Participate in short check-in calls for coordination.
- Collaborate with the Customer Support Director (CSD) and CPO to align priorities and communicate status updates.
- Exercise sound judgment in deciding when to escalate vs. resolve issues independently.
Contract Details
- Contract period: January 2026 – June 2026
- Pay: $37 hourly (roughly 5-10 hours a week depending on incoming projects)
- Part-time: Flexible hours, estimated workload to be defined in collaboration with the team.
- Reports to: Chief Product Officer (CPO)
