Context and why we are recruiting

The Forum is building an intelligent workplace where staff can ask questions, get answers, and take action across their tools without switching systems or navigating complexity. The experience is natural language first, so staff can work across multiple platforms in their everyday work.

Getting there requires every off-the-shelf tool to be connected, configured, and evolving as part of a coherent whole. That is what this role is for.

The AI and Workplace Technology Specialist will bridge the gap between the tools staff use every day and the intelligent workplace we are building. They will help ensure the platforms in their portfolio are actively managed, fit for purpose, and connected to the Forum’s intelligent workplace rather than operating in isolation.

This role will help shape how workplace technology is selected, configured, adopted, governed, and evolved across the Forum. It will support the practical delivery of the Workplace Technology strategy and the operating model where TDI (Technology and Digital Innovation) owns the institutional platform layer, and business owners own the service, process, operational outcome, day-to-day usage, operational configuration, and 1st level support enabled by the tool.

The role is needed because the Forum is expanding its use of staff-facing tools, including AI and LLM platforms, Zoom, its meeting room and desk booking tool, and other workplace systems. The team needs additional capacity to support use cases, coordination, governance, adoption, and lifecycle activity across tools that staff rely on every day.

Reporting line and how is this role embedded in the wider team?

The role will report into the Workplace Technology team within TDI. It will work closely with colleagues across TDI, business owners, power users, general employees, Procurement, Legal & Compliance, Finance, and external suppliers.

The role will support various activities across multiple tools, in agreement with the relevant business owner and TDI. This means the role must be comfortable working across both institutional and tool-specific needs.

What will you be responsible for?

  • Support the stewardship of staff-facing tools as part of TDI’s institutional portfolio approach.
  • Help define employee needs, business needs, priority use cases, and functional requirements for workplace technology and AI tools.
  • Support platform strategy and roadmap activities, including assessing whether tools fit the wider Forum landscape and how they should evolve over time.
  • Contribute to vendor selection, supplier engagement, and enterprise fit discussions, while TDI retains ownership of the vendor relationship and institutional decision-making.
  • Support the definition and application of data, integration, security, access, and governance requirements.
  • Help coordinate platform configuration, operational setup, testing, and business validation with the relevant business owner.
  • Develop staff guidance, user communications, and adoption materials so staff understand how and when to use each tool.
  • Support change management and adoption activity, including launches, updates, and ongoing user engagement.
  • Work with the Slack team to ensure the tools in your portfolio are configured to share data, surface relevant information in Slack, and allow users to take action for every day tasks directly from Slack
  • Help monitor usage, adoption, and value so the Forum can assess whether tools are delivering the intended outcome.
  • Support the management of AI-related use cases, including tool requests, staff-built assistants, custom solutions, and related governance or credit usage considerations.
  • Assist with the assessment of the broader workplace technology landscape, identifying opportunities to simplify, improve fit, and strengthen alignment across tools such as Workday, Zoom, Box, Outlook, and others.


What core knowledge, skills and experience are we looking to add to our team?

Domain Knowledge and Experience

  • Experience supporting digital tools, workplace platforms, or AI-enabled services.
  • Understanding of how to translate business needs into practical requirements and user journeys.
  • Experience working with stakeholders across business, technical, and operational teams.
  • Familiarity with platform governance, access, data, and integration considerations.
  • Experience supporting adoption, user guidance, training, or change activity.
  • Interest in workplace technology, employee experience, and improving how people work.
  • Familiarity with agentic tools, LLMs, or natural language interfaces is an advantage.
