Associate, Accommodations – Operations, Systems & Finance

The Associate, Accommodations – Operations, Systems & Finance is a shared resource within the Accommodations function, supporting both the Contracting & Operations and Financial Operations & Contracting teams. Reporting jointly to both Managers under the Senior Manager, this role is designed as a hybrid contributor able to pivot fluidly between contracting/operational activities and financial/systemic processes. 

The Associate is responsible for ensuring accuracy and timeliness across contract administration, supplier coordination, financial tracking, and system maintenance. This role works closely with internal partners (Legal, Finance, Procurement, Housing Operations, Stakeholder Relations) and external stakeholders (hotels, universities, vendors) to maintain consistent, compliant, and operationally sound accommodations delivery throughout planning and Games-time phases.

Key Responsibilities:

Contract Administration 

  • Support the preparation, routing, and filing of hotel and vendor agreements. 
  • Maintain tracking logs of financial commitments, deposits, and cancellation terms. 
  • Ensure all executed agreements are archived in an audit-ready system. 

Financial Processing & Budget Management 

  • Process invoices, monitor payment schedules, and reconcile transactions. 
  • Maintain budget trackers across multiple accommodation portfolios. 
  • Assist with variance analysis, expenditure reporting, and forecasting. 
  • Generate stakeholder-specific financial summaries for leadership review. 

Cross-Functional Integration 

  • Partner with Finance, Legal, and Procurement to ensure compliance with organizational standards. 
  • Support the development and implementation of SOPs for contracting and financial workflows. 
  • Collaborate with systems teams to ensure financial and contractual data are accurately captured in reservation platforms. 

Games-Time Financial Operations 

  • Provide operational support for real-time invoice processing and reconciliations. 
  • Maintain updated financial logs and issue tracking during Games-time. 
  • Assist with post-Games financial closeout, including reconciliations, reporting, and handoff to Finance.

Background & Qualifications: 

  • 3+ years of professional experience in hospitality, event management, finance operations, or contract administration. 
  • Exposure to hotel contracting, event accommodation delivery, or financial reconciliation preferred. 
  • Demonstrated ability to manage multiple priorities across different reporting lines. 
  • Strong organizational and administrative skills with attention to detail. 
  • Comfort working with data, spreadsheets, and financial/contract systems. 
  • Experience with mega-events, sports, or large-scale entertainment operations is a plus. 

Position Requirements: 

  • Ability to work on-site in an open office environment based in Los Angeles, CA.
  • Extended work hours, including evenings and weekends, during peak operational and Games-time periods. 
  • Occasional domestic travel for site visits, system training, or Games-time support. 

Education: 

  • Bachelor’s degree in Hospitality, Business Administration, Event Management, Finance, or related field required. 
  • Proficiency in Excel (pivot tables, reconciliations, formulas) required. 
  • Familiarity with Smartsheet, Salesforce, SAP/Oracle, or DocuSign preferred. 

Expectations: 

  • Operate seamlessly across both Contracting & Operations and Financial Operations & Contracting functions. 
  • Maintain accuracy, timeliness, and accountability in all workflows. 
  • Flexible and adaptable, able to pivot quickly between contracting, financial, and operational tasks. 
  • Communicate effectively with internal teams, external partners, and dual managerial reporting lines. 
  • Proactively identify issues, recommend solutions, and support corrective actions.

The annual base salary range for this position is $69,000 - $75,000. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
