JOB SUMMARY

Who you will work with

The Associate, Grantmaking Operations works under the supervision of the Director, Grantmaking Operations as a member of the Grantmaking Operations Team and closely with the U.S. Jewish Grantmaking Portfolio.

Where and how you will work

Schusterman employees work a weekly hybrid schedule with a mix of in-office time and work-from-home flexibility. For this role, you’ll need to be based in Washington, DC (preferred) or New York, NY. This is a full-time position. Please note that Schusterman does not cover relocation expenses for this position. 

WHAT YOU WILL DO (RESPONSIBILITIES)

The Associate, Grantmaking Operations supports the Director, Grantmaking Operations to provide grantmaking support to the U.S. Jewish portfolio, ensure compliance with legal requirements for grantmaking and work with a variety of teams to improve efficiency and effectiveness for our grantmaking teams. The Associate will have broad exposure to grantmaking practices, deep work in our technical systems and support our technology team in improving our grantmaking systems. Our ideal candidate will be a project manager who can multitask and manage competing priorities, while providing excellent support to the portfolio.

Specific Responsibilities include: 

Application Process Management (40%):

• Support grantmaking teams with application setup
• Processing new grantee setup
• Ensuring accurate data for grantee organizations and applications
• Providing stewardship of applications through the process
• Responding to questions and providing support on grantmaking
• Finalizing grant agreements to ensure alignment with internal practices and collecting signatures
• Work with technology and legal teams to ensure process is effective

Grants Management (40%):

• Ensuring payments are made on time and with all relevant information completed
• Follow up with grant reporting to support grantmaking teams in completing review
• Ensures payments are updated as needed to ensure they go out in a timely manner

Data Support (10%):

• Ensure grants data is clean and up-to-date using key systems
• Review contacts data at regular intervals to look for duplicates
• Support teams in adding and updating contacts
• Support the Communications team with seeking the approval of portfolio teams of email lists

Other (10%):

• Support teams with budget creation and ensure data integrity
• Serve as a member of the Cross-Org Operations Team and IT & Grantmaking Team
• Other Projects as assigned

WHAT YOU WILL NEED (REQUIREMENTS)

The following qualifications are representative of the high level of demonstrated skills, maturity, judgement and ability to work with a wide range of constituencies required of Schusterman employees.

• 3-5 years of relevant professional administrative operations experience required. 
• A Bachelor’s degree or comparable, relevant professional experience. 
• Excellent verbal and written communication and interpersonal skills necessary to develop cooperative working relationships with supervisory personnel, co-workers, grantees, program participants and the public are required.
• An ability to understand and interpret pertinent policies and procedures clearly and accurately, especially those requiring Schusterman employees to maintain the highest level of confidentiality regarding business and personal matters of Schusterman, its trustees and its officers is required.
• Effective project management skills and attention to detail while managing multiple priorities. 
• Ability to act as a thought-partner on the process who can balance an outcomes focus with the need to ensure compliance for risk mitigation
• Ability to write clearly and concisely to summarize key points and recommendations
• Ability to thrive in a small collaborative setting where teamwork, passion, positivity, and resourcefulness are highly valued 
• PC skills (with proficiency in Microsoft Outlook, Word, Excel, and PowerPoint), as well as a thorough knowledge and comfort of basic web skills required.
• Ability to travel 10% (primarily staff retreats and relevant conferences). 

COMPENSATION AND BENEFITS OF WORKING AT SCHUSTERMAN 

This role features a competitive hiring range of $82,500-$95,000 based on experience and Schusterman’s commitment to internal equity. We offer a strong benefits package to support employee health and well-being, including medical, dental, vision, retirement and mental health support.
