RESPONSIBILITIES
We seek to hire a Coordinator to provide administrative and operational support within the Office of the CEO. In this role, you will enhance CEO effectiveness through calendar and task management, while also collaborating with the development team on critical initiatives. Reporting to the Chief of Staff, you will assist with board logistics and thought leadership events. NewSchools is a fully remote organization, and you may live anywhere in the United States. This role requires up to 10% travel for in-person team meetings, retreats, and events.
In this role, you will:
Manage CEO administrative needs to enable her effectiveness
- Ensure the CEO’s calendar is well-managed by prioritizing requests, proactively addressing scheduling conflicts, and recommending solutions that ensure daily engagements run smoothly
- Reach out to meeting participants to ensure CEO has received relevant preparation materials at least 48 hours in advance and handle meeting follow-ups
- Manage team requests, including material reviews and other to-dos, by adding it into Asana, our project management tool, and communicating realistic completion dates
- Assist with special projects that impact the organization as a whole
- Manage scheduling, travel and expense reimbursement for the CEO
Provide administrative and project support to the Chief of Staff and Development team:
- Coordinate meetings with cross-team stakeholders and external partners
- Maintain donor records by entering data, updating contacts, and capturing meeting notes in Salesforce
- Manage donor event logistics throughout the year, including planning and execution during Summit
- Support conference planning by tracking priority conference dates and monitoring session proposal deadlines
- Coordinate logistics for external conference participants, including hotel and travel arrangements, reimbursement guidance, and other preparation needs
- Contribute to Summit planning and execution, providing logistical support to ensure a smooth experience for 800+ participants
Serve as a key liaison and provide world-class administrative support to the Board of Directors
- Communicate with professionalism and integrity, ensuring board members are treated with care as critical stakeholders
- Schedule board and committee meetings 18–24 months in advance and coordinate touchpoints with the CEO and Executive Team
- Develop and maintain a board communications calendar, including investment approval deadlines, and share updates with relevant stakeholders
- Safeguard confidentiality of board discussions and materials
- Oversee logistics for board and committee meetings, including facilities, meals, supplies, and technology for in-person gatherings
- Track meeting participation and proactively engage board members and executive assistants to ensure strong attendance; provide updates to the CEO and Chief of Staff at least one month before each meeting
- Maintain accurate board records, including listservs for directors and executive assistants, as well as committee membership lists
SKILLS & EXPERIENCE
- Minimum of 2 years of experience managing team operations
- Strong customer service orientation
- Deep experience and comfort utilizing Google Suite, Asana, and Salesforce

COMPENSATION
We offer a competitive compensation package including base salary, performance bonus, professional development, and complete benefits.
The salary range for this position is $70,000 to $90,000 based on experience with the potential for an annual bonus up to 5%. Final salary will be determined based on experience level and qualifications.
