Purpose of the Role

As part of the Visitor Experience team, this role will be responsible for providing support for the Obama Foundation Volunteer Program at the Obama Presidential Center and offsite at various community events. This role supports a highly efficient volunteer life cycle by maintaining onboarding and orientation processes, alongside accurate volunteer data management. The coordinator acts as the Supervisor-on-Duty when the Manager is not on site.

As the Coordinator, you will report to the Manager, Volunteers. The schedule for this position is Sunday through Thursday with some evenings required.

Core Job Responsibilities

  • Provides professional staff support to volunteers; serves as a key liaison between volunteers and Obama Presidential Center and Obama Foundation staff.

  • Initially screens volunteer applicants to determine interest, skills, and abilities for volunteer work. Works with the manager in matching work needs with appropriate volunteers. Provides input to the manager on placement of volunteers.

  • Assists the manager in working with OPC staff to develop new volunteer opportunities in response to identified priorities.

  • Compiles data on volunteer demographics, and dedicated hours of service for the purpose of program evaluation, volunteer recognition, recruitment and retention.

  • Assists the manager in overall volunteer recognition, including administrative support of Annual Recognition Event and daily recognition efforts.

  • Assists in the daily operation of the volunteer office and with other special projects as assigned.

  • Acts as first point of contact for volunteers as they sign in each day, and is responsible for covering the Volunteer Office when the manager is on the OPC floor or offsite.

  • Updates Google Sites Volunteer Info Page each morning.

Key Deliverables / Outcomes

  • Responsible for administrative maintenance of the Volunteer Management System, ensuring all records are up to date, including training, coaching and disciplinary actions.

  • Provides on-the floor coaching and support to volunteers.

  • Create and manage volunteer schedules and assignments, ensuring adequate coverage for events and daily tasks.

  • Track volunteer hours and other data to compile reports as needed.

  • Communicates all shift and training schedules to volunteers.

  • Monitor volunteer satisfaction and resolve any scheduling conflicts or issues that arise. Report unresolved issues to the manager.

  • Promotes an inclusive and welcoming environment, modeling and reinforcing this with volunteers.

Required Qualifications

  • Ability to work a Sunday through Thursday schedule, with some evenings required.

  • Commitment to an inclusive, accessible, and diverse work environment; ideally experience in leading this environment in a customer-centered space, cultural institution, or an educational setting.

  • Previous experience working with volunteers, in a non-profit, cultural, or public-facing setting.

  • Ability to work with volunteers of all ages and backgrounds.

  • Strong communication and organizational skills and a service and team orientation.

The pay rate for this role is $21.50/hour.

This is a full-time, in-person role based at the Obama Presidential Center in Jackson Park.
