The Driver is responsible to drive Ipas Nepal’s vehicle and ensure that the vehicle is in proper condition. S/he should ensure cleanliness of the vehicle on daily basis and oversee routine maintenance and servicing of the vehicle.

Driving Services

  • Provide safe and reliable driving services for Ipas staff as and when required.
  • Ensure the internal and external cleanliness of vehicles and motorbikes at all times.
  • Ensure adequate fuel availability in vehicles for daily operations.
  • Use the shortest, safest, and most efficient routes, avoiding unnecessary mileage and time.
  • Conduct daily vehicle condition checks, including brakes, lights, indicators, radiator, battery, tire pressure, engine oil (mobil), fuel level, and overall roadworthiness.
  • Provide pick-up and drop-off services for staff, visitors, and guests as requested by the office.
  • Coordinate with the security focal point and traffic control prior to starting trips, when required.
  • Strictly follow traffic rules, organizational norms, and Ipas values at all times.
  • In the event of an accident, follow established procedures, immediately notify the supervisor/office, and provide necessary assistance.
  • Ensure the vehicle is equipped with all required safety tools, including a toolbox, safety items, and a fully stocked first-aid kit.
  • Follow up on regular servicing of vehicles and motorbikes at reputable service outlets, including timely replacement of parts such as air filters, engine oil, and other required components.
  • Maintain accurate records of fuel refueling, repairs, maintenance, and parts replacement in the vehicle logbook.
  • Complete and submit Ipas standard travel logs promptly after each trip.
  • Ensure timely renewal of vehicle and motorbike documents, including blue books, pollution checks (green stickers), and other regulatory requirements.
  • Follow up on provincial motorbike blue book renewals in compliance with applicable legislation.
  • Monitor and calculate fuel consumption and mileage, ensuring proper documentation and comparison through logbooks.

Administrative Support

  • Provide support for photocopying, scanning, binding, and replacement of toner/cartridges for photocopiers and printers.
  • Offer logistical support for workshops, meetings, trainings, and seminars.
  • Handle errands with banks and other relevant institutions for official transactions.
  • Deliver and collect official documents, letters, parcels, pouches, and other materials to and from partner organizations, government offices, donors, and vendors.
  • Receive incoming phone calls and relay messages in the absence of the receptionist.
  • Support store operations, including physical verification of items, preparation, packing, and timely placement of materials as required.
  • Provide logistic support in workshops, meetings, and seminar.
  • Run inter organizational, governmental, partners, donors and vendors' offices for delivery of official documents, letters, parcels, pouches etc.
  • Receive phone calls and relay/take messages on the absence of receptionist.
  • Support in store on physical verification, make preparation of materials packing and placing in required time.

Understand and comply with the organization policies and ethics

  • Understand and comply with the Human Resources, Procurement, Travel, Finance Policy, and other policies of the organization.
  • Commitment and adherence to the Ipas code of business ethics and conduct and safeguarding policy.
  • Ensure Ipas representatives (including consultants, interns, volunteers, independent contractors, suppliers/vendors, board members, sub-awardees) and government officials directly working with Ipas and its partners understand and practice the prevention of sexual exploitation and abuse policy while in partnership and implement program with Ipas.
  • Contribute to safe working environment where every team member is treated equally and respectfully.
  • Live up to the Ipas core values driven, principled, bold, interdependent.
  • Ensure all work activities comply with the organization rules and regulations
  • Ensure proper documentation of memo’s, decisions, reports and any official documents for record keeping hardcopy/OneDrive/Luna as appropriate.

PSEA compliance

  • As an Ipas Nepal employee read, understand, and sign the acknowledgement to comply with all aspects of the PSEA as defined by the PSEA policy.
  • Contribute to safe working environment where every team member is treated equally and respectfully.

Other responsibilities

  • Engage in a learning culture and participate and enrol learning courses of Ipas University.
  • Willing to be back up for staff and vacant positions and perform other related duties as required.
  • Completion of Basic Level Examination-Grade 8, and candidate with SLC (SEE) completed certificate will be preferred.

Qualifications, Experience, Knowledge and Skills

  • Must have a valid driving license.
  • A minimum of 3-4 years of driving experience.
  • Previous experience of working in I/NGO will be preferred.
  • Must have skills and knowledge in vehicle maintenance; ability to do simple general maintenance as required on the vehicle.
  • Must be conversant with all traffic regulations and the Highway rules.
  • Extensive field travel to be expected inside Karnali province
  • Proven employment record in similar position.
