As an Event Associate, HQ Events & Experiences, you will own the planning and execution of high-quality meetings, events, and experiences at Stand Together’s Ballston Exchange headquarters. You will partner closely with internal teams across the Stand Together community to understand their objectives, translate those goals into thoughtful event experiences, and coordinate the people, spaces, technology, hospitality, and other capabilities needed to bring each event to life.
From initial discovery through event execution and follow-up, you will serve as a trusted event partner—anticipating needs, navigating changing priorities, and helping internal business partners create experiences that foster connection, collaboration, and meaningful progress toward Stand Together’s vision. This approach reflects Stand Together’s emphasis on empowering people, creating value for others, and enabling bottom-up contributions toward a shared vision.
\nLead the end-to-end planning and coordination of corporate meetings, events, and experiences hosted at Stand Together’s headquarters.
Serve as a consultative partner to internal business partners, conducting discovery conversations to understand event objectives, audience needs, desired outcomes, and experience expectations.
Develop event plans that translate business objectives into thoughtful experiences, including space selection, room configurations, agendas, hospitality, technology, and other logistical requirements.
Manage multiple events simultaneously, maintaining detailed timelines, event specifications, schedules, and communications from initial planning through execution.
Partner closely with internal capabilities, including Events, IT, AV, Facilities, Security, Hospitality, and other teams, to ensure seamless coordination and execution.
Coordinate technology and audiovisual requirements, collaborating with technical partners to ensure presentations, virtual participation, production needs, and other event technology are successfully delivered.
Recommend and assign appropriate headquarters spaces based on event goals, attendance, room configuration, technology requirements, and availability while stewarding space effectively.
Serve as an on-site event lead, anticipating needs, troubleshooting challenges, and making real-time decisions to deliver an exceptional experience for hosts and attendees.
Proactively identify risks, dependencies, and opportunities to improve an event before they affect the attendee experience.
Navigate last-minute changes with sound judgment, composure, and clear communication across stakeholders.
Maintain accurate event information within scheduling and event-management systems and ensure relevant partners have the information needed to execute successfully.
Apply organizational guidance related to building operations, space usage, capacity, accessibility, safety, and event protocols.
Gather feedback from business partners and attendees and use those insights to continually improve events, processes, and the overall HQ experience.
Identify opportunities to innovate and improve how Stand Together plans and delivers events, sharing knowledge and contributing to the continued development of the HQ Events & Experiences capability.
3+ years of experience in corporate event planning, hospitality, meetings and events, or a related field, with experience coordinating events from initial concept through execution.
Demonstrated ability to manage multiple events, stakeholders, timelines, and competing priorities in a fast-paced environment.
Strong project management and organizational skills, with exceptional attention to detail and follow-through.
A consultative, service-oriented approach with the ability to understand stakeholder objectives and recommend solutions that create an exceptional experience.
Experience coordinating event logistics including meeting spaces, room configurations, catering or hospitality, audiovisual technology, production, and on-site execution.
Strong judgment and problem-solving skills, including the ability to anticipate challenges and adapt quickly when circumstances change.
Exceptional written and verbal communication skills and the ability to build trusted relationships with partners at all levels of an organization.
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, and experience with event-management, scheduling, or space-management platforms.

For this role, the anticipated base salary range is $70,000–$85,000 per year. This role may also be eligible for additional bonus compensation designed to align total compensation with an employee’s overall contribution to the organization.
