Position Summary

The primary focus of this role will be to provide comprehensive Executive Assistant support to a Managing Director and wider Sustainability team based in London which (in addition to general administrative/personal assistant duties) will include the organisation and co-ordination of complex travel and meetings.

Responsibilities 

  • Work with a network of EA’s from all Actis offices and investor companies to coordinate extensive and complex international travel across many different time zones
  • Organise complex portfolio company trips
  • Manage travel arrangements including visa requirements
  • Extensive Diary Management using MS Outlook – arranging meetings, lunches, booking meeting rooms with relevant facilities and greeting visitors etc.
  • Monitor and manage incoming and outgoing emails and flag as required
  • Telephones – dealing with internal and external calls, answering queries, taking messages, arranging conference calls
  • Manage travel budgets and expenses
  • Setting up of files and maintaining any filing as required
  • Support with ongoing due diligence requests from existing and prospective investors
  • Support the annual data collection campaign from portfolio companies, and with ad hoc requests
  • Support the organisation of the annual portfolio company offsite
  • Support the organisation & implementation of team events
  • Assist in the preparation of presentations and reports and putting together PowerPoint presentations to a high standard
  • Buddy support/absence cover for other Executive Assistants

Qualifications 

  • Experience in investment banking, private equity or business development environment is desirable
  • Extensive EA experience at Partner level
  • Experience in organising international travel
  • Experience and comfort in working within an international environment
