About the Position

The Executive Coordinator (part-time hourly with a minimum of 20 hours per week) provides high-level support to the board, executive team, and directors, ensuring efficient coordination of meetings, travel, communications, and administration for a distributed, mission-driven team. This is a new role in the organization and reflects our continuing growth. The Executive Coordinator reports to Alex Kaufman, Deputy Director of Operations. This remote role calls for a proactive, detail-oriented professional with strong organizational and communication skills, who thrives in a dynamic multi-stakeholder environment. Staff at Industrious Labs actively work to cultivate equity and justice, embracing an explicitly pro-Black and anti-racist organizational culture.

What You'll Do

You'll hold responsibilities that will evolve over time as the team grows and functions are distributed. In year one, the role will include: 

Board Support

  • Assist with 3–4 virtual board meetings per year, including scheduling, reminders, and logistics
  • Assist with one in-person board meeting per year, including scheduling, planning, and logistics
  • Prepare agendas, take notes, and draft minutes for board meetings

Executive Support

  • Provide executive-level administrative support to 4–6 remote executives, managing complex calendars and appointments
  • Arrange travel and process expenses upon request
  • Assist with document and presentation preparation as needed
  • Support virtual meeting hosting and conferencing, as required
  • Occasionally provide notetaking, minute creation, and follow-up for meetings

Director Support

  • Assist 4 directors (all remote) with planning and logistics for up to 10 in-person convenings per year
  • Provide additional director-level administrative and coordination support as needed

Operations and Special Projects

  • Enter/update CRM data in support of relationship management and fundraising
  • Administer software and subscription procurement and management
  • Support other operational or project-based duties as assigned

Core Qualifications

  • Exceptional organizational skills, with proven ability to manage multiple priorities and deadlines
  • Superior written and verbal communication skills, and ability to interact effectively at all organizational levels
  • Proficiency with IT platforms (Zoom, Microsoft Office, Google Workspace), and ease in hosting virtual meetings and webinars
  • Builds trust by handling sensitive information with integrity, respect, and care for all individuals involved.
  • Commitment to mission alignment, core values, and a collaborative, inclusive workplace

Preferred Qualifications

  • Professional experience in both nonprofit and for-profit settings
  • Exposure to the climate, climate justice, labor, or related movements
  • Experience working with CRM systems such as Hubspot or Salesforce
  • Experience in event planning and logistics support
  • Familiarity with Microsoft PowerPoint, Google Slides, and/or basic graphic design tools
  • A creative eye or knack for document and slide design

Salary and Benefits

The hourly pay for this position is $43.75. Industrious Labs has a policy not to negotiate compensation. Rather than rely on negotiation, we offer transparent pay aligned with experience, responsibilities, and organizational values.

We offer competitive benefits for part time employment, including a work-from-home stipend, up to 5% 401k employer match, 11 paid holidays, and unlimited PTO (with a minimum requirement of 8 business days for this role). We are currently unable to offer health benefits (medical, dental and vision insurance) to part-time employees; however, part-time employees are eligible to receive once-yearly additional prorated compensation of $6,000. This compensation may offset some self-acquired health coverage costs.
