Why we are recruiting
The Forum’s General Services team is responsible for all aspects related to maintaining the organization’s headquarters in Geneva, Switzerland. This includes two buildings covering 11,500 square metres, 3 villas and 800 square metres to Pallanterie and extensive grounds, as well as the office space of 1000 employees.
The General Services Specialist will ensure that office operations run smoothly on a daily basis, both administratively and operationally.
Reporting Lines & Interactions
The General Services Specialist reports to the Head of General Services Geneva and interacts with the General Services Team.
Breakdown of main responsibilities
General administration and continuous improvement
Take accountability of running the administration of the different services across General Services (mailing, vendor management, invoice processing, office supplies inventory management)
Offering the most suitable solutions to optimize service provided to Forum staff
Facility Management
Solving minor technical problems as they arise and helping with office moves
Helping building maintenance and service provider contracts with Forum suppliers
Audio-Video Support
Managing the meeting rooms set up
Ensuring the meeting and common spaces are working properly (videoconferencing, etc.)
Mailing and Printing
Provide operational support for daily activities and contribute to the successful delivery of major annual events hosted at the Forum’s headquarters (such as the Global Shapers, YGL, and ALM gatherings).
Preferred Requirements and Experience
Minimum of 3 years’ experience in office operations and/or general services; experience in facility management is a strong asset
Proactive, autonomous, and able to effectively prioritize multiple tasks
Highly adaptable with the ability to perform under pressure
Positive, results-driven, and service-oriented mindset with an open and collaborative approach
Strong written and verbal communication skills in both English and French
Proficient in MS Office applications
