Opportunity or Team description

The Grant Associate, Data & Analytics will support OSF’s grantmaking operations by helping ensure that grants data is accurate, complete, usable, and effectively maintained across grantmaking systems.

Role Purpose

This is a hybrid Grants Management role sitting across data quality, systems support, user support, reporting validation, training support, and process improvement. The role supports both internal OSF users and external applicants/grantees through the grantmaking system and grantee portal.

The successful candidate will be comfortable working with people, systems, data, and detailed operational processes, and will bring strong communication, judgement, discretion, and a client service mindset.

Key responsibilities

Data Quality, Reporting and Analytics Support

  • Provide input on tools, methods, and formats for data collection and information gathering.
  • Assist with data management functions independently, including issue identification, process development in response to change, and collaborative problem-solving with occasional supervisor assistance
  • Review data to assure that it is accurate and complete in accordance with appropriate protocols.

Reporting and Portfolio Analytics Support

  • Collate data for analysis as well as tracking progress and reports variances using established finance systems and protocols.
  • Generate, capture, and organize information and knowledge to deliver prescribed outcomes for area of responsibility. Support portfolio analytics with data provision and entry

Process Improvement and Change Support

  • Responsible for supporting delivery of process improvements that span multiple teams or functions within the organizational unit
  • Assist the Data Lead and contribute toward project design within a department/unit
  • Support programs on development and implementation of LOI and full proposal applications approaches that take advantage of the functionality and optimize the collection of useful data for programs’ use

Compliance and Policy Support

  • Accountable (with Central Grant Management) for enforcing global GM policy, procedure, and compliance

Training, Knowledge Building and Guidance

  • Build and maintain training material for the grant management system based on updates and changes that get implemented
  • Responsible for supporting delivery of knowledge building and training across the opportunity portfolios

Stakeholder and Grantee Support

  • Support internal stakeholders by helping ensure grantmaking data and system processes are accurate, usable, and aligned to programme needs.

Systems Administration and User Support

  • Provide systems administration and user support for grantee portal and grants systems; triage, resolve, and escalate issues as needed; monitor issue submitted to the Global Grants and portal technical support queues.
  • Support data integrity in the safeguarding of account creation and maintenance and risk awareness as a front facing position and data management support which includes data quality checks and data cleaning for the grants system and shared data in Salesforce.

The ideal candidate (essential criteria)

Essential Qualification:

  • University degree or equivalent

Essential Experience:

  • Relevant experience in data management, reporting, information management, business analysis, financial analysis, systems support, grants operations, or a related field.
  • Experience supporting users, stakeholders, clients, applicants, grantees, or internal system users with queries, troubleshooting, guidance, or process support.
  • Strong proficiency in Excel and PowerPoint, with the ability to review, organise, and present data clearly.
  • Experience working with systems, databases, CRM platforms, grants systems, workflow tools, or structured data environments.

Desirable

  • Experience in a grants management, nonprofit, philanthropy, international development, or professional services environment.
  • Experience using Salesforce, Microsoft CRM, grants management systems, or similar CRM/database platforms.
  • Working knowledge of SQL, Power BI, Tableau, or other data visualisation/reporting tools.
  • Experience supporting user acceptance testing, system enhancements, process improvements, or business requirements gathering.
  • Experience creating or maintaining training materials, user guidance, FAQs, or process documentation

  • Numerical Skills: Understanding numerical concepts and using them to carry out mathematical operations e.g., to analyze reports
  • Reporting: creating reports for various audiences as relevant, in a clear and effective manner, keeping in mind the purpose of reports
  • Technical Support: providing technical guidance as needed on identifying and diagnosing technical problems, then resolving those problems by choosing the best authorized solution
  • Writing Skills: Exercising specialized knowledge and providing technical guidance when required on expressing ideas, requesting actions and formulating plans or policies

Languages:

  • An excellent knowledge of English
  • Knowledge of Spanish or other languages would be an asset

Travel Required:

  • Travel is required. Travel frequency depends on the role requirements.
