Background
The African Climate Foundation (ACF) is the first and only African-led climate change re-granting organisation on the continent. Through a combination of grant making, fellowships, transformational research, technical assistance, coalition building and advocacy the ACF seeks to support interventions at the nexus of climate change, and development that have the greatest potential to deliver long-term socio-economic transformation and inclusive development. ACF also provides Fiscal Hosting (also called Fiscal Sponsorship) services to support emerging and mission aligned organisations and initiatives.

Purpose

The African Climate Foundation is seeking a highly organized and proactive Grants Administrator to support the Head of Grants (HoG) and provide administrative assistance to the broader Grants Team. This role is critical in ensuring the efficient coordination of activities, diary management, and general administrative support to facilitate the smooth running of programme-related work.

The Grants Administrator is a critical role that blends executive support with strategic coordination, research, and stakeholder engagement. This individual will be a key enabler of the HOG’s leadership, ensuring organisational effectiveness, seamless communication, and successful delivery of strategic priorities across the Grants department.

Reporting to the Head of Grants, the Grants Administrator provides high-level executive, administrative and coordination support. The Grants Administrator must be exceptionally organised, proactive, analytically strong, and able to interact confidently with stakeholders in a fast-paced environment.

Responsibilities include but not limited to:


Executive Support to the Head of Grants:

  • Manage the HoG’s diary, scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize emails, calls, and requests, ensuring effective time management.
  • Prepare documents, reports, and briefing materials as required by the HoG.

Grants Team Coordination & Diary Management:

  • Develop and manage the Grants Team’s diary, ensuring alignment with key internal and external commitments.
  • Schedule and coordinate team meetings, work, and events.
  • Maintain an up-to-date record of key deadlines, deliverables, and reporting schedules.

Meeting Administration:

  • Prepare agendas for internal and external grants-related meetings.
  • Take detailed and accurate notes during meetings, ensuring key action points are documented.
  • Follow up on action items, ensuring timely execution and reporting.

General Administrative Support:

  • Assist with correspondence, formatting reports, and preparing presentations.
  • Assist with document management, filing, and maintaining grants records.
  • Support procurement and logistics related to grants activities.
  • Provide support in tracking budgets and processing administrative requests as needed.

Requirements include but are not limited to:

  • Bachelor’s degree in Business Administration, Office Management, Project Management, or related field.
  • Minimum 5 - 7 years proven experience working in a similar capacity.
  • Proven experience in an administrative or executive support role, preferably within grants management, programme management, international development, or a non-profit organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms (Zoom, MS Teams).
  • Excellent organizational and time-management skills, with strong attention to detail.
  • Strong written and verbal communication skills, with experience in note-taking and report preparation.
  • Ability to multi-task, prioritize, and work under tight deadlines in a dynamic environment.
  • Discretion and confidentiality in handling sensitive information.
  • A proactive and problem-solving mindset, with the ability to work independently and as part of a team.
  • Calm under pressure, solutions-oriented, resourceful, and able to respond effectively in dynamic environments, maintaining productivity and quality standards.

Start date: Position available immediately.

Contract duration: 12 months (renewable based on mutual agreement).

Location: Cape Town, South Africa.
