SCOPE OF POSITION:

Reporting to the Manager, Information Technology and Operations (IT/O) the Information Technology (IT) and Operations Administrator will provide support to the priorities of IT and Operations Unit including special projects, system updates, project documentation and onsite or remote support. The responsibilities include technical, operational and administrative tasks to support information technology and operations projects and initiatives that improve the function, efficiency and security of Oxfam Canada’s information technology and operations infrastructure.

The IT and Operations Administrator role requires a comprehensive experience in IT service management, infrastructure, project management, and information security. Equally important is a strong focus on providing exceptional customer service to support the organization’s operational needs effectively.

This is a full-time, one-year term position requiring onsite work at our Ottawa headquarters, five (5) days per week.


MAJOR RESPONSIBILITIES: (This is not an exhaustive list of duties to be performed)

  • Support the IT team to ensure the computer network operates smoothly, efficiently and securely.
  • Provide onsite and remote technical support for IT systems and networks.
  • Implement key project tasks related to IT and operations priorities as directed by the Manager, IT/O.
  • Help maintain system security and safety standards.
  • Perform system updates and assist with hardware and software configuration, installation, and maintenance.
  • Prepare project documentation and ensure secure storage of all project materials.
  • Provide technical support for virtual and in-person meetings.
  • Update and maintain accurate inventory of all hardware and software resources.
  • Respond to and resolve service tickets promptly.
  • Offer technical support to users by responding to questions and concerns.
  • Support package and disseminate computer equipment and retrievals including updates to asset inventory system.
  • Provide Administrative support to triage incoming mail, couriers, and equipment as required.
  • Perform backups and restore data as needed.
  • Other duties as assigned.


REQUIRED KNOWLEDGE, EXPERIENCE & COMPETENCIES:

  • Post-secondary education in Computer Sciences or Network Administration.
  • Professional certifications in IT service management, project management, or information security (preferred).
  • Strong background in IT infrastructure, service management, project management and information security.
  • Minimum of three (3) years’ experience in IT customer service and infrastructure-support role.
  • Demonstrated commitment to global justice, women’s rights, gender equality and social change.
  • Solid knowledge and hands-on experience with:
    • Microsoft Active Directory
    • Microsoft Azure
    • Office 365 Tenancy
    • Windows Server Operating Systems
    • Ticketing systems like ServiceNow, JIRA, Freshdesk, and similar
    • Microsoft Windows Operating Systems
    • Microsoft Office and other desktop productivity tools
    • WAN/LAN Networking
    • Enterprise Antivirus and Firewall technologies.
    • VOIP systems and telephony
    • VMWARE Operating Systems and admin experience.
  • Experience in installing and configuring system hardware, software and third-party software.
  • Ability to create clear, user-friendly technical guides.
  • Knowledge of backup and data security best practices.
  • Excellent English communication skills (oral and written).
  • Ability to set priorities and execute tasks in a high-pressure environment and make sound decisions in emergency situations.
  • Demonstrable high standards of ethical conduct, honesty and integrity, with a high sense of accountability.
  • Strong troubleshooting, analytical and problem-solving skills.
  • Service-oriented, empathetic, and tactful approach to end-user support.
  • Strong interpersonal skills, and ability to collaborate effectively with both technical and non-technical colleagues
  • Ability to work effectively in a diverse, inclusive work environment.
  • Ability to work on-site in the headquarters with occasional on-call availability.
  • Experience working in a unionized environment is an asset.
  • Willingness to sign and abide by the Oxfam Code of Conduct.
