Nonviolent Peaceforce (NP) is a dynamic, international non-governmental organisation. We work with people affected by violent conflicts to enhance their security and dignity through Unarmed Civilian Protection (UCP). We work to reduce violence, protect civilians in countries affected by violent conflict and its aftermath, and help transform the world’s response to conflict situations.


OVERVIEW

 

Nonviolent Peaceforce (NP) is an international, non-governmental organization based in Geneva, Switzerland, that has been working in the Philippines since 2007 to protect civilians and strengthen local peace structures through Unarmed Civilian Protection (UCP). NP collaborates  with local civil society and conflict-affected communities across BARMM and adjacent provinces - including Maguindanao del Sur, Maguindanao del Norte, Lanao del Norte, SGA, Basilan, Sulu, and Tawi-Tawi – to deter violence and build sustainable protection mechanisms. NP’s work includes providing protective accompaniment to at-risk civilians and organizations, monitoring and reporting on safety concerns raised by community members, facilitating safe spaces for inclusive dialogue and community-led conflict resolution, supporting the creation of Early Warning and Early Response (EWER) systems, and training local leaders and networks in UCP methodologies. Through these efforts, NP helps ensure that civilian protection remains central to peacebuilding and social cohesion initiatives in conflict-affected areas.

 

JOB SUMMARY

 

The Logistics Assistant will play a crucial role in supporting the establishment of Women Friendly Spaces (WFS) by ensuring the smooth flow of materials, services, and resources throughout the construction process. This position is well-suited for an individual who is detail-oriented, resourceful, and capable of managing multiple logistics functions under tight timelines. Working closely with the Project Coordinator, Civil Engineer, suppliers, and field teams, the Logistics Assistant helps guarantee that procurement, storage, transportation, and site deliveries are efficient, well-documented, and compliant with project standards. By overseeing logistics activities from sourcing to on-site distribution, the role ensures that construction progresses on schedule and that resources are used responsibly and transparently.



KEY RESPONSIBILITIES

 

1. Logistics

  • Oversees all logistics activities on the site.
  • Ensures timely delivery of materials.
  • Coordinates with Suppliers, Civil Engineer, and Project Coordinator – responsible for the structure design coming from the UNFPA.
  • Develops logistics strategies for storage, transport, and distribution.

 

2. Procurement and Supply

  • Sources construction materials.
  • Negotiates with vendors for best prices and delivery schedules.
  • Ensures procurement aligns with project timelines.
  • Tracks supplier performance.

 

3. Warehouse / Inventory

  • Manages storage and movement of materials.
  • Keeps accurate stock records and prevents shortages or excesses.
  • Ensures safe handling and proper storage (e.g., cement, steel, electrical parts).
  • Controls issuance of materials to different site teams.

 

4. Transportation / Fleet

  • Organizes the movement of construction materials.
  • Manages vehicle scheduling and routes.
  • Ensures compliance with road safety and load regulations.
  • Tracks fuel use and maintenance of vehicle.

 

5. Site Logistics

  • Manages on-site delivery, unloading, and placement of materials.
  • Works closely with the Civil Engineer as to the labor fee and workers transportation expense.

 

6. Documentation and Compliance

  • Prepares and manages documents.
  • Maintains delivery notes, receipts, and stock reports.
  • Tracks logistics-related costs for financial accountability.



7. Duties Applicable to all staff

  • Actively work towards the achievement of the goals and mandate of Nonviolent Peaceforce.
  • Abide by and work in accordance with Nonviolent Peaceforce values and principles as provided in the Global Employee Handbook and existing policies.
  • Perform any other work-related duties and responsibilities that may be assigned by the line manager.


QUALIFICATIONS AND COMPETENCIES



  • Bachelor’s degree in business administration, engineering, or a related field. Equivalent experience may be considered.
  • At least 1–3 years of relevant experience in logistics, procurement, warehousing, transportation, or administrative support, preferably in the humanitarian or development sector.
  • Demonstrated ability to coordinate with suppliers, contractors, and project teams to ensure timely delivery of goods and services.
  • Strong organizational and communication skills, with attention to accuracy and detail.
  • Knowledge of inventory management systems, procurement processes, and basic financial documentation.

 

PREFERRED QUALIFICATIONS

 

  • Prior experience working with NGOs, humanitarian, or development projects.
  • Familiarity with logistics operations in post-conflict or conflict-affected areas.
  • Experience supporting construction-related logistics (procurement of materials, site deliveries, warehouse management).
  • Knowledge of compliance standards in procurement and supply chain management.


SKILLS AND COMPETENCIES

 

Required

 

  • Strong understanding of procurement, warehousing, fleet, and transport management.
  • Ability to track and document deliveries, receipts, and stock records for accountability.
  • Practical knowledge of logistics safety, road regulations, and handling of construction materials.
  • Proficiency in MS Office (Word, Excel, Outlook) and basic data management.
  • Good report writing and record-keeping skills.


Preferred

 

  • Excellent problem-solving and multitasking abilities.
  • Strong interpersonal skills and ability to collaborate with diverse teams (engineers, suppliers, contractors, field staff).
  • Experience developing logistics plans or strategies to meet project timelines.
  • Commitment to transparency, accountability, and cost-efficiency in logistics operations.
