Role Overview
The NetSuite Systems Administrator is responsible for the day-to-day administration, configuration, support, documentation, and continuous improvement of Ashoka’s global NetSuite OneWorld environment, with administrative support for NetSuite Planning and Budgeting (NSPB). Operating across approximately 30 countries, the organization is at varying stages of NetSuite adoption and implementation. This role will help strengthen the existing environment while supporting continued rollout, remediation, and standardization of financial systems and processes across the global organization.
The Systems Administrator will serve as a key bridge between Finance, Accounting, country offices, and internal and external technology resources. The successful candidate will combine strong NetSuite technical skills with an understanding of accounting and financial processes and the ability to work effectively with users across multiple countries, cultures, and levels of technical sophistication.
This is a hands-on, mid-level role for someone who enjoys solving problems, improving systems, and helping users get more value from NetSuite.
\nKey Responsibilities
NetSuite Administration & Support
• Serve as a primary administrator for the organization's NetSuite environment, supporting users across headquarters and approximately 30 country operations.
• Manage user accounts, roles, permissions, access controls, workflows, forms, dashboards, and system preferences.
• Troubleshoot system issues and respond to user questions, identifying root causes and developing sustainable solutions.
• Manage and prioritize NetSuite support requests and coordinate with external consultants or other technical resources when appropriate.
• Develop and maintain a current system inventory and documentation on configurations, workflows, scripts and integrations, roles, reports and saved searches, recurring processes, administrator runbooks, known dependencies, and key configuration decisions.
• Monitor system performance, data quality, integrations, and scheduled processes and proactively identify potential issues.
Global Implementation & Standardization
• Support continued implementation, and expansion of NetSuite across countries and entities not yet fully operating on the platform.
• Partner with Finance and country teams to understand existing financial processes, systems, reporting requirements, and local constraints.
• Translate approved requirements into entity setup, chart-of-accounts mappings, currencies, accounting periods, dimensions, intercompany structures, approval workflows, Multi-book and multi-currency configuration, and other system structures required for international operations.
• Support data migration, testing, validation, user acceptance testing, cutover, and post-implementation stabilization.
• Help establish standardized global processes while appropriately accommodating necessary local requirements.
• Identify opportunities to reduce reliance on spreadsheets, manual processes, and disconnected local systems.
Finance Process & Reporting Support
• Partner closely with Accounting, Budget & Planning, Treasury, and Finance leadership to improve the effectiveness of NetSuite-enabled financial processes.
• Support month-end and year-end close processes by troubleshooting system and data issues and improving workflows.
• Develop and maintain saved searches, reports, dashboards, KPIs, and other tools that improve financial visibility and decision-making.
• Support multi-entity consolidation, intercompany accounting, foreign currencies, and global financial reporting.
• Help improve the timeliness, consistency, and accuracy of financial information received from country offices.
• Assist Finance leadership in developing better visibility into cash, spending, budgets, forecasts, and other key financial information.
Systems Improvement & Integration
• Evaluate business requirements and translate them into practical NetSuite configurations and solutions.
• Configure and maintain workflows, custom fields, forms, records, saved searches, reports, and dashboards.
• Identify opportunities for automation and process improvement within NetSuite.
• Support integration between NetSuite and other organizational systems, working with technical specialists where necessary.
• Participate in testing and deployment of NetSuite releases, enhancements, integrations, and configuration changes.
• Maintain appropriate change-management practices, including documentation, testing, approvals, and production deployment.
Data Governance, Controls & Security
• Help establish and maintain strong data governance practices across the global NetSuite environment.
• Support appropriate segregation of duties, role-based access, approval authorities, and other financial-system controls.
• Conduct periodic reviews of users, roles, permissions, and system access.
• Partner with Finance and other stakeholders to strengthen internal controls and audit readiness.
• Support internal and external audit requests related to NetSuite configuration, access, transactions, and system controls.
• Help ensure that system changes and financial data are appropriately documented and controlled.
Training & User Adoption
• Provide practical training and support to Finance staff and NetSuite users across the organization.
• Develop user guides, process documentation, FAQs, and training materials.
• Help country teams transition from legacy or local processes to standardized NetSuite processes.
• Build user confidence and encourage consistent adoption of global standards.
• Communicate technical concepts clearly to users who may not have systems or accounting backgrounds.
Preferred: NetSuite Planning & Budgeting Administration
• Provide administrative and technical support for NSPB, including user access, security, metadata, data loads, integrations, and recurring system processes.
• Troubleshoot NSPB configuration, data, and integration issues and coordinate specialist support where advanced system expertise is required.
• Develop and maintain NSPB administrative and technical documentation, including key dimensions, integrations, security, recurring processes, and known dependencies.
• Partner with FP&A to translate approved planning requirements into system configuration.
Qualifications
Required
• Approximately 3–6 years of experience administering or supporting NetSuite in a complex organization.
• Hands-on experience with NetSuite configuration, roles and permissions, workflows, saved searches, reports, dashboards, and system administration.
• Strong understanding of core accounting and financial processes, including general ledger, accounts payable, accounts receivable, close, and financial reporting.
• Experience supporting multi-entity or multi-subsidiary environments within a grant-making organization.
• Familiarity with nonprofit accounting, fund/grant accounting, donor restrictions, or project/program reporting.
• Demonstrated ability to diagnose systems and data problems and develop practical solutions.
• Experience gathering business requirements and translating them into system improvements.
• Strong analytical, organizational, documentation, and problem-solving skills.
• Ability to manage multiple priorities and work independently while collaborating with geographically dispersed teams.
• Strong written and verbal communication skills and an ability to work effectively with both technical and nontechnical colleagues.
Preferred
• Experience with NetSuite OneWorld, multi-book accounting and international/multi-currency environments,
• Experience supporting a global organization with decentralized operations.
• Experience with NetSuite implementations, entity rollouts, data migrations, or significant system enhancements.
• Experience with SuiteFlow and basic familiarity with SuiteScript, SuiteAnalytics, integrations, APIs, or related NetSuite tools. Deep development expertise is not required.
• Experience working with external NetSuite implementation partners or consultants.
• NetSuite Administrator or other relevant NetSuite certification is a plus.
• Experience administering or supporting NetSuite Planning and Budgeting (NSPB).
Success in This Role
During the first 12–18 months, success will include:
• Establishing reliable day-to-day administration and support for the global NetSuite environment.
• Completing a current-state system/configuration inventory and improving system documentation, user access, data quality, and administrative controls.
• Supporting successful implementation or deeper adoption of NetSuite in additional country operations, which may include partnering with an external implementation team.
• Reducing manual workarounds and improving consistency of financial processes across countries.
• Improving the quality and timeliness of global financial reporting and consolidation.
• Developing useful dashboards, reporting tools, and system-enabled processes for Finance leadership and country teams.
• Creating a scalable support and governance model as the organization moves toward fuller global adoption of NetSuite.

Profile of the Successful Candidate
The successful candidate will be a practical systems problem-solver who understands that a global ERP implementation is as much about people, processes, and data discipline as technology. They will be comfortable moving between troubleshooting user issues, configuring NetSuite, working through accounting-process questions, and helping country teams adopt new ways of working.
They will have enough NetSuite expertise to operate independently while recognizing when specialist support is required, and will be motivated by building a more consistent, transparent, and effective global financial infrastructure that supports the organization's mission.
