The Rights and Resources Initiative (RRI) is a global coalition of over 150 organizations dedicated to advancing the forest, land, and resource rights of Indigenous Peoples, local communities, Afro-descendant Peoples, and in particular the women within these groups. RRI’s members capitalize on each other’s strengths, expertise, and geographic reach to achieve solutions more effectively and efficiently. RRI leverages the power of its global coalition to amplify the voices of local peoples and proactively engage governments, multilateral institutions, and private sector actors to adopt institutional and market reforms that support the realization of rights.

Office Administrator
The Office Administrator will play a vital part in ensuring the smooth operation of our office as well as in the successful planning and execution of our events and travel. This position requires a blend of administrative skills and event management expertise, along with a solid understanding of IT support to help maintain our technological infrastructure.
This is a full-time position based in Washington, DC with the option of teleworking two days per week (Mondays and Fridays). Candidates must be legally eligible to work in the US and located in the DC metro area prior to the start date.
This position is classified as exempt under the US Federal Fair Labor Standards Act (FLSA) and therefore is not subject to compensation for overtime.
Primary Responsibilities:
Travel & Event Management (70%):
- Plan, organize, and execute all on and offsite events, including venue selection, catering, travel and participant registration. Communicate ideas for process improvements as needed.
- Create and document standard operating procedures for event management, including checklists, detailed event timelines and venue/vendor contact information.
- Serve as active point of contact for RRI travel agency to coordinate all travel logistics.
- Liaise with vendors, venues, and key stakeholders to ensure seamless event execution. Clean up onsite meetings/lunch if needed.
- Create relationships with vendors and venues to establish preferred status/discounts.
- Assist and set up online conference calls and meetings (printers, server, phones, web, translation, etc.)
- Manage event budgets, accurately track expenses, and ensure that events are delivered within program budget.
- Stay informed about industry trends, best practices, and technologies in event management.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Coordinate logistics for and outreach to participants, engaging them at all stages from invitation to post-event follow-up, and ensure that response timelines are met, and that participants’ guidelines are followed by all parties
Office Administration (30%):
- Manage day-to-day office operations to ensure a productive and efficient work environment. Keep areas neat and clean.
- Maintain office supplies and inventory, ensuring that all necessary materials are available for day-to-day operations and events, such as coffee, snacks, paper, etc.
- Check/disperse mail and packages, main point of contact with building security/management.
- Serve as the first point of contact for visitors, callers, and emails, representing the organization professionally.
- Interact with various stakeholders, including staff, volunteers, and community members, contributing to a welcoming and effective environment for collaboration and outreach.
- Collaborate with team members to develop and implement effective administrative processes and support structures.
- Under the guidance and support of RRI’s external IT provider: main support for onsite IT tasks, including troubleshooting minor technical issues. Maintain and track accurate inventory of hardware and software. Set up all new hires with equipment (Computer, Cell Phones, etc., as required)
- Inventory, order, issue, recycle, all RRI technology supplies (i.e. computers, wireless orders)
- Miscellaneous admin support as requested
Qualifications:
- Bachelor's degree in business administration, communications, or related field preferred. Event planning certification is helpful.
- Minimum of 3-5 years of experience in office administration or relevant professional experience in a nonprofit or similar setting preferred.
- Excellent verbal and written communication skills required.
- Demonstrated ability to interact with diverse audiences professionally, courteously and with tact.
- Adaptable and proactive with the ability to be a problem solver and exercise good judgment.
- Strong organizational skills and detail oriented with the ability to manage multiple tasks and prioritize effectively.
- Ability to work independently and collaboratively in a team-oriented environment.
- Basic understanding of IT systems and support; experience with onsite troubleshooting preferred.
- Familiarity with database management, event management platforms, and office software (e.g., Microsoft Office, Google Workspace).
- Passion for nonprofit work and commitment to the mission and values of our organization.
Salary Range: $64,000-$85,000
