Banyuwangi Hijau is a scale-up of Project STOP Muncar, which ended in December 2021. This project covers a wider service area with a more advanced approach and detailed technical design, under the leadership of the Banyuwangi Regency Government. In Phase 1, the project successfully provided waste management service access to 250,000 residents. 

Currently, the project is implementing Phase 2 and Phase 3, which are scale-up stages aimed at expanding waste management services across the entire Banyuwangi Regency, thereby realizing an integrated waste management system that is inclusive, sustainable, and accessible to all levels of society. 

 

BWH Ops workstream aims to enable the team by running efficient processes, adapting to evolving challenges, continuously improving through feedback, and fostering a positive team culture. Beyond business-as-usual responsibilities related to administration, finance, and office management, BWH Ops also ensures that team-building and well-being initiatives are properly planned, budgeted, and well executed. In the past, there was a dedicated logistics role within the BWH project; however, as the team evolved, this role was adjusted and is no longer in place. With the continued growth of the BWH project—reflected in a larger team, expanded office space, and an increasing number of team activities—there is now a strong need for an additional Technical Assistant within BWH Ops. This role would provide essential support for office logistics, team events, team mobility, and other general operational activities. When time and capacity allows, this role is also expected to provide support in Knowledge Management and Capacity Building activities. 

 

This will help ensure smooth day-to-day operations, allow the wider team to focus on their core responsibilities, and support the effective and sustainable delivery of the BWH program. 

 

OBJECTIVES 

The additional Technical Assistant within BWH Ops will be responsible for office logistics and management, team mobility, project correspondence, and the planning and execution of team initiatives (including coordination with vendors and venues), as well as other general operational duties as required by the project. 

SCOPE OF WORK 

The Technical Assistant will be responsible to deliver the following tasks: 
 

  1. Manage day-to-day logistics for the BWH office, including our project site office, ensuring smooth operational support for both office-based and field-based activities. 

 

  1. Monitor, manage, and replenish office supplies and basic equipment, maintaining adequate stock levels to support uninterrupted project operations. 
  1. Ensure a safe, organized, and well-maintained working environment for the project team, proactively addressing office and field facility needs and logistical issues as they arise. 
  1. Support the planning, logistical preparation, and on-the-day execution of team events, workshops, meetings and official visits. 
  1. Support the arrangement and coordination of transportation for team activities, fieldwork, and other official engagements. 
  1. Handle project correspondence, including managing letter numbering, submission, drafting, signature tracking, etc. 
  1. Liase with hotels, venues’ PICs, caterers, and other vendors to support team events, workshops, and guest visits, ensuring timely and quality service delivery. 

 

  1. Maintain organized physical filing and document management systems within the office to support administrative requirements. 
  1. Assist in the logistical organization of team well-being initiatives to support team engagement and morale.  
  1. Assist with some parts of onboarding of new team members, in coordination with HR processes (office setup/tour/intro). 
  1. Provide support in knowledge management and capacity building activities as needed. 

 

  1. Provide other administrative support as needed. 

 

 

Technical Assistant ini akan bertanggung jawab untuk melaksanakan tugas-tugas berikut: 

 

  1. Mengelola hal-hal terkait logistik kantor BWH, termasuk project site office, memastikan kelancaran dukungan operasional untuk kegiatan-kegiatan yang diadakan di kantor maupun di lapangan. 
  1. Memonitor, mengelola, dan mengisi kembali suplai dan perlengkapan dasar kantor, memastikan stok yang cukup untuk mendukung operasional proyek tanpa ada gangguan.   
  1. Memastikan lingkungan kerja yang aman, teratur, dan terpelihara untuk tim proyek, secara proaktif menangani kebutuhan kantor dan isu-isu logistik yang muncul.  
  1. Mendukung perencanaan, persiapan logistik, dan pelaksanaan di hari H terkait acara tim, workshop, rapat dan kunjungan resmi. 
  1. Mendukung pengaturan dan koordinasi transportasi untuk kegiatan tim, pekerjaan di lapangan, dan kegiatan resmi lainnya.  
  1. Menangani korespondensi proyek, termasuk mengelola penomoran, pengiriman, pembuatan draf, pelacakan tanda tangan surat, dll. 
  1. Berkoordinasi dengan hotel, PIC dari venue, katering, dan vendor lainnya untuk mendukung acara tim, workshop, dan kunjungan tamu, memastikan layanan yang diberikan tepat waktu dan berkualitas. 
  1. Mengelola berkas/arsip/dokumen fisik dan sistem manajemen dokumen dalam kantor untuk mendukung persyaratan administratif. 
  1. Membantu dalam pengaturan logistik kegiatan well-being untuk mendukung keterlibatan dan semangat tim. 
  1. Membantu dalam beberapa bagian proses orientasi karyawan, sesuai dengan proses dari tim HRD (office setup/tour/intro). 
  1. Memberikan dukungan dalam kegiatan manajemen pengetahuan dan pengembangan kapasitas sesuai kebutuhan. 
  1. Memberikan dukungan administrasi lainnya sesuai kebutuhan. 

DELIVERABLE  

  1. Smooth and uninterrupted logistical support for BWH office and project site office activities. 

 

  1. Adequate stock levels of office supplies and basic equipment maintained at all times, with timely replenishment and tracking. 
  1. Office and field facilities that are safe, organized, and properly maintained, with logistical issues addressed promptly. 

 

  1. Successful logistical planning and execution of team events, workshops, meetings, and official visits. 
  1. Reliable and timely transportation arrangements for team activities, fieldwork, and official engagements. 

 

  1. Well-managed project correspondence, including letter numbering, drafting support, submissions, and signature tracking. 
  1. Effective liaison with hotels, venues, caterers, and other vendors to ensure quality and timely service delivery. 

 

  1. Organized and up-to-date physical filing and document systems supporting administrative and compliance needs.

REQUIREMENT / SPECIFICATION  

Candidates for this position should hold at least a bachelor’s degree (S1) in administration, management or a related field, with the following qualifications: 

  1. Minimum 2 years of relevant experience in office administration, logistics, operations support, or project support roles, preferably from working in project-based, government-related environments, NGO, consulting, and the like 
  1. Experience in managing office logistics, supplies, and basic facilities 
  1. Ability to support events, meetings, field activities and team mobility 
  1. Experience handling project correspondence and basic documentation 
  1. Comfortable coordinating with vendors (hotels, venues, transport, catering) 
  1. Well-organized, detail-oriented, and able to manage multiple tasks 
  1. Proactive, reliable, and able to work well with a team 
  1. Good communication skills in Bahasa Indonesia; basic English is an advantage 
  1. Based in Banyuwangi or willing to be stationed in Banyuwangi area
