The Wellcome Trust is a global charitable foundation. We improve health for everyone by funding science, leading policy and advocacy campaigns, and building partnerships.

Our investment portfolio is a resource that makes our charitable work possible, rather than a way in which we seek to achieve our mission. Over the past decade, the portfolio has grown at an annual rate of 12%, which has enabled us to nearly double the amount we spend on our mission of improving health for everyone by helping great ideas to thrive.

The original source of our funding was a bequest left by Sir Henry Wellcome on his death in 1936.Since then, Wellcome’s funding has come from a wide range of financial assets around the world:

  • Publicly listed stocks and shares

  • Private equity

  • Venture capital

  • Property

  • Hedge funds and other investments.

We are looking for a PA/Team Coordinator to join our investments team on a Fixed term contract for 12 months.

Where in Wellcome will I be working?

You will join the Investments Operations team, reporting to the Investment Executive Assistant.

The PA team consists of 2 PAs / Team Coordinators and 1 Executive Assistant. The PAs provide general PA support to at least 2 senior members and team coordinator support to the wider Investments team.

The PA / team coordinator manages schedules, arranges meetings, and handles correspondence, which frees up investment professionals to focus on decision-making and strategy.

What will I be doing?

You will provide a broad range of administrative, secretarial, support to 2 senior members as well as the wider Investments Team and ensure the smooth running of the department.

As a PA / Team coordinator, Investments you will:

  • Manage diaries for leadership members and act as a point of contact for internal and external stakeholders

  • Complete expenses and process invoices on behalf of Investment Leadership members

  • Prepare papers for internal and external meetings, attending such meetings and producing minutes as required.

  • Implement and maintain excellent document and filing management systems

  • Arrange travel and meetings for Leadership team members and Investment team.

  • Lead on the planning and coordination of regular Investment team meetings, away days & socials, including scheduling, producing agendas and minutes.

  • Contribute to a diverse and inclusive culture across the organisation, collaborating across departments.

Is this job for me?

We are looking for a candidate with a background in investment who possesses strong administrative experience, exemplified by their proficiency in managing complex calendars, preparing agendas and paperwork for meetings. A candidate that takes initiative and meets deadlines is vital alongside good organisational skills. We’d love to work with a candidate that demonstrates the ability to work with people at all levels, including a high proficiency in both written and verbal communication

Minimum Criteria:

  • PA or administration experience

  • Advanced IT Skills – excellent working knowledge of Microsoft Office software including SharePoint.

  • Ability to multi-task, prioritise, take initiative and work to deadlines.

  • Methodical and organised approach to work with very high attention to detail.
