We are looking for a Team Coordinator to join our team.

Where in Wellcome will I be working?

You will be working within Wellcome’s friendly and fast-paced Mental Health team. Our vision is a world where no one is held back by mental health problems.

To achieve this vision, we are working towards the specific mission of creating a step change in early intervention for anxiety, depression and psychosis. We fund research, support convening and thought leadership and work with lived experience experts and external partners to help create this change.

We are already seeing new interventions and new understanding as a result of our work and expect to see our impact grow significantly over the next few years.

What will I be doing?

We are looking for a Team Coordinator to provide administrative support to the leadership-level direct reports of the Mental Health Director (4 people), deputising for the Director’s EA as needed, and assist with the co-ordination and logistics of team activities ensuring the smooth running of the wider team (around 40 people). Working with a motivated, high-performing team and can bring people together while managing a busy, varied workload with attention to detail.

As a Team Coordinator, you will:

  • Help the team to be the best it can be, including supporting the best ways we can share and catalogue information and work with other teams

  • Oversee and ensure compliance with team processes including keeping team lists up to date, ensuring completion of mandatory training, completion of staff surveys

  • Ensure smooth running of team including liaising on finance systems and with facilities as required

  • Organise team activities/away days

  • Manage inductions for new team members

  • Travel and diary management for the direct line reports of the MH Director, and Director as required

  • Support administration associated with decision making processes in MH team

  • Prepare summaries of information for direct line reports of the MH Director, and Director as required, including for internal and external meetings, attending such meetings and producing minutes as required

A candidate that takes initiative and meets deadlines is vital alongside good organisational skills. We’d love to work with a candidate that demonstrates the ability to work with people at all levels, including a high proficiency in both written and verbal communication

Minimum Criteria:

  • PA or administration experience

  • Ability to prepare agendas, paperwork including briefing documents and take minutes for meetings

  • Good written and verbal communication skills

  • Methodical and organised approach to work with very high attention to detail.

  • Ability to deal professionally with confidential material and issues.

Our Hybrid Way of Working

We are currently working 3 days per week (Tuesdays, Wednesdays and Thursday) from our Euston Road offices. Due to the nature of this role, there may be a requirement to come in on Mondays and Fridays in addition due to meeting requirements.
