We are looking for a People Services Assistant to join our team on a 6-month Fixed term contract.

Where in Wellcome will I be working?

The People Services team sit within the wider People Operations team. You will be joining a team of 5 to be the first point of contact for all Wellcome’s HR queries and employee onboarding.

What will I be doing?

As a People Services Assistant you will support our People team in delivering an excellent service to employees, managers, and candidates. You will be the first point of contact for all HR-related queries, ensuring timely and efficient resolutions while contributing to the enhancement of our HR practices. You will also be responsible for the onboarding of employees.

As a People Services Assistant, you will:

  • Serve as the first point of contact for People queries, responding promptly to employees, managers, and candidates while liaising with other People teams to resolve issues as needed.

  • Handle onboarding tasks, such as drafting contracts, ensuring receipt of necessary documentation, managing the right to work process and undertaking DBS checks.

  • Provide first-line support for Workday queries, assist with the implementation and upgrades of Workday modules, test new processes and keep all Workday guidance and information up to date.

  • Develop and maintain the knowledge base, ensuring compliance with set KPIs, coordinating with Payroll for off-system changes, and administering the leaver process according to agreed procedures.

  • Monitor and manage the administration and correspondence related to absences and ensure all employee documentation is filed electronically.

  • Contribute to creating an inclusive culture across the organisation through the demonstration of our values and behaviours and inclusive workplace practices.

Is this job for me?

We are looking for someone who:

  • Demonstrates extensive experience in administration within fast-paced settings with some experience in an HR environment.

  • Is able to draft precise and clear correspondence, create content for knowledge bases, and provide system guidance and training to end users, all while maintaining excellent interpersonal relationships.

  • Shows a high level of computer literacy, including proficiency in MS Office and database skills, coupled with the ability to effectively use and manage databases interacting with payroll and Applicant Tracking Systems, supporting HR functions seamlessly.

  • Is an excellent team worker, flexible and open to change, capable of multitasking under pressure while maintaining a meticulous attention to detail in varying operational environments.
