Role Overview - (3 Month Full-Time Fixed Term Employment)


Global Citizen’s Events & Broadcast team is seeking a Production Assistant to oversee and coordinate FIFA-related meetings, documentation, and information, along with additional Global Citizen events. This position ensures seamless collaboration between internal and external teams. This role requires exceptional calendar management, communication, and organizational skills to manage complex schedules and facilitate cross-functional coordination. The Production Assistant role reports to the Senior Vice President, Broadcast & Events.


Key Responsibilities:


Calendar and Schedule Management (25%)

  • Manage multiple executive calendars, prioritizing efficiently amidst shifting demands.
  • Schedule and coordinate meetings, ensuring minimal conflicts and optimal time management.
  • Adjust schedules in real-time to accommodate last-minute changes.
  • Track deadlines, deliverables, and key milestones for Global Citizen events and broadcasts.

Communication and Coordination (25%)

  • Serve as the primary liaison between executive leadership and production teams.
  • Facilitate clear and timely communication among internal and external stakeholders.
  • Prepare and distribute agendas, meeting notes, and action items.
  • Ensure all parties are informed of schedule updates and project changes.

Production Support (25%)

  • Coordinate logistics for production meetings, site visits, and rehearsals.
  • Monitor production timelines and deliverables, flagging potential risks.
  • Assist with obtaining and distributing necessary documentation, permits, and approvals.
  • Provide on-site support during key events to manage schedules and deliver real-time updates.

Administrative Tasks (25%)

  • Handle confidential information with discretion and professionalism.
  • Organize and maintain digital files, ensuring accessibility and version control.
  • Prepare presentations, reports, and correspondence as needed.
  • Process expense reports, purchase orders, and other administrative documents.
  • Assist with deck-making and presentations.

Required Skills and Qualifications:

  • 1-3 Years Proven experience as an Executive Assistant, preferably in live events or entertainment.
  • Knowledge of soccer/FIFA is a plus!
  • Strong proficiency in calendar management tools (Google Calendar, Outlook) and project management software.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Exceptional attention to detail, organization, and problem-solving abilities.
  • Flexibility to work non-standard hours, including evenings and weekends as required by the event schedule.
  • Problem-solving and adaptability.

More Details

  • Must be authorized for employment in the USA
  • Global Citizen operates on a hybrid work model - 3 days (Tuesday, Wednesday, and Thursday) in our NYC office and 2 days (Monday & Friday) telecommuting.
  • This role reports to the Senior Vice President, Broadcast & Events.
  • Salary Range: $60,000 - $65,000 Prorated Annual Salary
