About CPI
CPI Indonesia is seeking a proactive and detail-oriented Program Associate to provide critical programme management, operational, and administrative support to the IKI C2G (Coal to Green) programme and other IKI-funded programme; REDI4JET. This position will have a significant focus on IKI C2G programme, with approximately 50% of the role's workload allocated to IKI-related programme administration and compliance, 30% programme management support, and 20% to CPI Indonesia's broader Climate Finance programme management support.
This position requires an independent and resourceful individual with strong organisational, communication, and interpersonal skills, and a high level of professionalism in managing multiple workstreams simultaneously. The role is ideal for a candidate looking to build a career in international development or climate finance programme and grant management, with the opportunity to gain direct exposure to a bilateral government cooperation programme operating under donor (IKI/BMUKN) compliance requirements.
You will report to the and work closely with CPI's IKI C2G project team in Indonesia, CPI Global colleagues, and the international consortium partner (Guidehouse), as well as relevant government counterparts.
IKI Program Administration and Compliance (approx. 5
- Support the preparation and submission of project documentation required under the C2G Implementing Agreement, .
- Support coordination and documentation related to the Official Handover Certificate (BAST) process, including liaison with relevant units on Letters of Acknowledgement and Ministry of Finance grant reporting requirements.
- Maintain records and documentation demonstrating compliance with IKI Exclusion and IKI Safeguard requirements, including coordination of and maintenance of related acknowledgement records hand in hand with colleagues from Program Operations, Finance, the Country Delivery Lead and C2G project team.
- In close coordination with program and finance division, draft and process procurement procedures for IKI-funded activities; risk identification and management, process invoices, arrange necessary approvals; and ensure compliance with both CPI internal policies and donor (IKI/BMUKN) requirements
- In close coordination with Senior Operations Associate, provide logistical and administrative support for IKI-funded events, including roundtables, workshops, study tours, and Steering Committee meetings — covering scheduling, venue arrangements, participant coordination, and documentation
- Maintain organised records of IKI-related correspondence, meeting minutes (including Minutes of Meeting/MoM from annual consultation meetings), and key agreements, ensuring documents are accessible to the project team and audit-ready.
- Support coordination between CPI Indonesia, CPI Global, and Guidehouse on shared C2G deliverables, ensuring administrative consistency across consortium partners.
IKI Programme Management Support (30%)
- Maintain a tracking system for IKI-funded milestones, deliverables, and indicators across all four Outputs, working closely with technical leads to ensure deadlines and reporting obligations are met.
- Support the preparation of progress reports to the Executing Agency (Coordinating Ministry of Economic Affairs (CMEA)) and Technical Counterpart Agencies (TCAs), including the six-monthly progress reporting cycle and materials for the annual consultation meeting.
- Support forecasting and monitoring of the requirement that at least 50% of project budget is implemented in Indonesia through local consortium members and subcontractors, including basic tracking of relevant expenditure categories
- Support engagement with funder finance and operation teams where budget or contract changes are
CPI Indonesia Programme Management Support (approx. 20%)
- Support project and program management systems for the Indonesia office, ensuring alignment with CPI’s global policies and tools.
About you
- Proven experience providing administrative and project/program management. A minimum of 3 years of experience working in an international organisation, not-for-profit, or program/grant administration is desirable.
- Ability to confidently work autonomously and coordinate the work of others effectively.
- Knowledge of or experience with supporting projects funded by international and national donors, with bilateral government cooperation program (e.g. GIZ, KfW, JICA, or other IKI/BMUKN-funded projects) is desirable but not required. ; Familiarity with donor compliance and reporting requirements is highly desirable
- Familiarity with Indonesian government procedures, grant management requirements, and stakeholder engagement processes, document management & audit readiness
- Familiarity with best-practice project management processes. A project management qualification (e.g. PRINCE2, Agile, or similar) is desirable but not required.
- Proficiency with Microsoft Exceland grant management software. . Experience with Fluxx Grantseeker, Airtable, and/or NetSuite Suite Projects Pro is desirable.
- Basic understanding of Indonesia's tax system as it relates to grant-funded programs and consultant/contractor payments.
- Strong attention to detail, organization, time management, and prioritization skills, and an ability to work under pressure and to tight deadlines.
- Flexibility, professionalism, enthusiasm for working as part of a team, and an ability to interact with a diverse array of people based in various geographies.
- Written and spoken fluency in both Bahasa Indonesia and English is required.
- Excellent oral and written communication skills.
