Role Overview 


We are seeking a dynamic and detail-oriented Senior Associate to support the CEO in advancing key logistics and travel priorities. This is a fast-paced, high-pressure role that will regularly involve out of office work on evenings and weekends due to travel and required advance planning efforts. 

This role involves extensive travel coordination, including managing logistics, liaising with local vendors, traveling with the CEO and ensuring seamless on-the-ground execution during the CEO’s engagements. The Senior Associate will facilitate strategic planning by coordinating meeting materials, tracking action items, and drafting compelling communications for both internal and external audiences. This role will also support the general operations of the Office of the CEO, and may be assigned other tasks as time and logistics duties allow.


Key Responsibilities

  • Travel and Logistics support (55%)
    • Travel with, and in advance of, the CEO as requested, working closely with the Office of the CEO EA on all travel details to properly advance CEO travel.
    • Oversee on-the-ground logistics and act as a liaison with local vendors on behalf of the CEO. This includes: security, accommodation, transport, etc.  
    • Act as a liaison between the Office of CEO and relevant internal teams and external partners as it relates to travel advance and logistics.
  • Office Prioritization and Execution Support (40%)
    • Support Office of the CEO operations with tasks as assigned, including but not limited to:
      • Keeping our SalesForce database current information.
      • Monthly reconciliation. 
      • Office of the CEO event production support: vetting and booking venues; manage OoCEO invitations; etc.
      • Other tasks as assigned.
    • Be trained on all duties of the Executive Assistant and backfill the role as needed for PTO / sick time.
      • Manage CEO’s schedule
      • Proactively communicate scheduling needs
      • Run the OoCEO project management task list
  • Performance Reporting (5%)
    • Establish quarterly and annual goal-oriented, and data-driven, stakeholder road maps and key performance indicators in close collaboration with the Chief of Staff (CoS) and relevant internal teams; ensuring all information lives in the Office of the CEO drive.
    • Present quarterly plans to the Office of CEO and prepare data-driven updates for mid-quarter check-ins.

Requirements For Success

  • Willingness & ability to travel as needed (up to 50%-60%).
  • Flexible availability — this role requires being available outside standard office hours.
  • Confidentiality, discretion and trustworthiness. 
  • Ability to think ahead and problem solve in-real time. 
  • Project management skills (hitting deadlines, preparing travel briefs, database management).
  • Required to be based in the New York City area.

Preferred Qualifications

  • Competency in more than one language is beneficial.

  • Must be authorized for employment in the USA.
  • Global Citizen operates on a hybrid work model - 3 days (Tuesday, Wednesday, and Thursday) in our NYC office and 2 days (Monday & Friday) telecommuting.
