Overview of the Position:
The Training Assistant is responsible for providing office and field support to the Training Unit and other Programming and Training staff as we all contracted trainers and Volunteers. The Training Assistant is responsible for administrative and logistical support of training events, liaising with Volunteer groups, as well as for the general safety and security of Trainees and Volunteers. This position requires significant travel, including a three-month re-allocation to the Pre-Service Training site. During Pre-service training, this position follows a six-day work week.
CLASSIFICATION: Full-time, Fixed-Term Contract (1 year, renewable based on performance and funding)
LOCATION: Addis Ababa, Ethiopia
REPORTS TO: Training Officer / Country Director, Deputy Country Director
Specific Responsibilities:
Training Support (40%)
- Handle all major communication for the Training Unit, contact and maintain relations with government, GSO, and other community stakeholders in relation to training needs.
- Provide administrative support to the Training Unit, make appointments, prepare schedules, and provide other general administrative assistance, including contributing to the preparation of annual training budgets and documentation.
- Assist Training Officer with all preparation for PST and various IST events, including research on and arrangements for venues, trainees/Volunteer transportation, guest speakers, and other logistical coordination.
- Act as primary backup support to the Training Officer and act as liaison between GSO Training Unit and Country Team, communicating needs and organizing transportation of information and suppliers to the Training venue.
- Assist with managing Alumni who are supporting training, including session information, topic assignments, and logistics for travel and lodging.
Events Management (20%)
- Work closely with the finance team in arranging lodging needs with training venue management and reviewing and reconciling payment invoices and registers.
- Ensure training venues, materials, stationery, and IT needs are prepared, equipment is set up, and supplies are ready for the training event.
Volunteer Support (20%)
- Assist Volunteer Liaison and Training Unit with developing materials to represent CorpsAfrica/Ethiopia or find relevant training resources.
- Coordinate training requests from Volunteers for various ISTs sessions and coordinate feedback and evaluations so that relevant feedback is incorporated into future training events.
- Assist the Training Manager/Officer in the coordination and support of the homestay program during PST.
- Conduct community-based training (CBT) visits and site visits to Trainees and Volunteers as needed.
Finance and Administration Support (10%)
- Work closely with DCD and the finance team in the development and implementation of policies and procedures regarding the use of and access to all CorpsAfrica training site equipment and services.
- In coordination with the Training Officer and DCD, assist with annual costing and budgeting of training activities, as well as coordinating the expenditure reporting and submission of all supporting documentation.
- Meet regularly with Bookkeeper and DCD to report on all PST/IST financial, budgeting, and logistics matters.
Safety and Security (5%)
- Serves as the alternate to the Training Officer in the event the Training Officer is not available at the time of an emergency.
- Reports safety and security incidents to DCD and CD immediately as they occur during delivery of training.
- Identify and immediately communicate Volunteers' safety and security concerns and issues to the DCD and CD.
- Contribute to CorpsAfrica/Ethiopia safety and security policies and procedures, including timely reporting of suspicious incidents or persons.
Monitoring, Reporting & Evaluation (5%)
- Assist the Training Officer in preparing training reports.
- Assist the Training Officer in collecting and analyzing results of training and project monitoring data.
- Assist in the development and dissemination of training evaluation forms and keep records of all training registers and evaluation forms.
- Collaborate with the M&E Officer to ensure that the training data is accurately documented and reported.
Qualifications:
- A bachelor’s degree and at least four years’ relevant work experience are required
- Highly skilled in facilitation, report writing, communication, and interpersonal relations.
- Excellent professional speaking, writing, in the local language of the country and English
- Excellent computer skills (Word, Excel, Access, PowerPoint, and all Google Docs)
- Detail-oriented with strong organizational abilities and able to work independently
