About the Team

The Workplace Services Team provide a first-class workspace with the tech and tools to ensure a happy and healthy and safe environment for all colleagues to do their best work.
We understand how a positive working space with all the necessary tools promotes wellbeing and motivation. By engaging with teams across the business and external partners, we are a team that meets the functional needs of our colleagues and continuously evolves to meet changing demands.
About the Role

• Oversee the workplace environment including H&S/Housekeeping checks, office supplies and delegating daily task lists to the onsite cleaner(s) and wider team
• Liaise with the Landlord’s building team to ensure smooth running of our workspaces
• Manage Health and safety activities and legislation across global office regions
• Ensure H&S risk assessments and on-going H&S training are undertaken, action plans documented and non-compliances resolved
• Ensure business and legal compliance with policies and procedures at all times
• Lead and manage Workplace Services Managers and coordinators ensuring consistency, compliance, KPI and SLA adherence across global regions
• Set clear objectives for direct reports, focusing on developing skills and capabilities to meet business needs
• Grow and develop both internal and external business relationships



Workplace Services Operations
• Oversee service desk and delegating, escalating and managing tickets where necessary
• Ensure FM & Tech requirements are met across global regions
• Manage onboarding/offboarding processes incl. kit distribution working alongside the wider team and People department
• Work closely with wider team and Finance to manage operational finances including invoice payment, forecast and budget control
• Manage contractor and supplier relationships, monitoring performance and ensuring business requirements are met
• Implement PPM schedules and create the specification of works for all minor refurbishment works
• Manage the processes for organising maintenance and shutdowns, ensuring any impact on GSMA activities is minimised
• Research, appoint and manage third-party suppliers of products and services, to deliver the best value and quality for money
• Work alongside the Head of Workplace Services on all lease renewals and sub-let management
• Produce and analyse FM, waste and energy use data from our suppliers and prepare reports
• Prepare, manage and maintain Workplace Services database incl. compliance documentation, policies and access reports ensuring data is fit for audit
• Manage offsite storage activities
• Prioritise sustainable suppliers and processes for all Workplace activities
• Adhoc activities as required by Head of Workplace
• Travel to global offices as required

Projects Operations
• Build utilisation data to plan for optimum use of space and to boost staff productivity and engagement
• Project manage relocations, design and builds and refurbishments; working closely with relevant teams and external contractors
• Manage compliance projects and ensure necessary training in conjunction with the L&D team
• Define, monitor and maintain all workplace services project documentation

Workplace Experience
• Regularly review workspace, working closely with wider team on improvements making suggestions for change to enhance colleagues’ experience
• Communicate regularly with colleagues on workplace changes and news, and produce/update relevant workplace signage and posters in co-ordination with D, E & I, Comms and Marketing
• Maintain knowledge of workplace trends, insights, and quality standards
• Review developments in new technologies and identify how they might be applied to gain commercial advantage
• Provide assistance with company-wide events


About You

• You will have an IOSH qualification or be working towards a NEBOSH
• You will be Health, Safety, Wellbeing and Compliance conscious
• You are a creative problem solver with demonstrable experience of working alongside a team to improve workplace processes and experience
• You are a great communicator, capable of maintaining and building strong relationships
• You show up with curiosity, and have a track record of creative problem solving to get things done at pace
• You have awareness and knowledge of H&S legislation and latest workplace trends
• You will have knowledge of lease clauses, liabilities and obligations
• You are IT confident with a high level of literacy
• You are a Sustainability Champion!
