From Indigenous communities to city leaders, entrepreneurs to governments, they are all working to solve our planet’s greatest challenges.
We focus on five key Earthshots: Clean Our Air, Fix Our Climate, Revive Our Oceans, Build a Waste-Free World, and Protect and Restore Nature. Each year, we select a group of 15 Finalists and award 5 of them £1M each to help advance or replicate their work and recognise their achievement and potential.

About the job
The Earthshot Prize is seeking a highly skilled and motivated Executive Assistant to provide dedicated support to the Executive Directors of Global Engagement and Communications who together are working to deliver the organisations biggest campaigns and events. As a key enabler of The Earthshot Prize’s mission, the EA will help drive the successful delivery of our ambitious goals in a dynamic, fast-paced environment.
This position is primarily office-based, with flexibility to work from home 1 – 2 days per week depending on business needs.
Key responsibilities

Primarily supporting 2 Senior Executives, with additional ad hoc admin tasks supporting the Events, Digital and Communication team

Manage complex and fast-paced diaries, ensuring alignment with strategic priorities and efficient scheduling of meetings and commitments across multiple time zones

Assist with organising meetings, booking meeting rooms, ensuring all minutes are being taken (support with minute taking) and ensuring follow- up on action items

Coordinate and prioritise inbox communications, drafting responses and ensuring timely follow-ups

Act as a key point of contact for internal and external stakeholders via email as well as when visitors come to the office

Assist with preparing briefs, presentations and documentation as and when needed

Assist with international travel and logistics for Executives and wider Storytelling team (when needed) and ensuring an itinerary is provided

Handle sensitive and confidential information with the high level of discretion and professionalism

Support in completing expenses

Collaborate with fellow EAs in the organisation to ensure smooth internal operations

Working with and alongside internal stakeholders, such as the Board of Trustee’s, Kensington Palace and The Royal Foundation team
Candidate criteria

Minimum of 3 years’ experience in a comparable Executive Assistant or senior administrative role

Exceptional organisational and time management skills, with the ability to manage multiple priorities effectively

Thrives in a fast-paced environment, remaining composed and efficient under pressure

Confident communicator, skilled at engaging with a range of teams, stakeholders, and external partners

Demonstrates a high level of professionalism, discretion, and sound judgement in all interactions

Proactive and forward-thinking, demonstrating initiative and anticipating needs before they arise

Flexible and adaptable, able to adjust schedules and priorities as circumstances change

Strong attention to detail and commitment to maintaining high-quality standards in all work

Strong written and verbal communication skills, with an agile and resilient approach to challenges

Proficient in Microsoft Office Suite, Teams, SharePoint, DocuSign, and other relevant organisational tools

Annual Leave – We believe that taking time away from work is incredibly important. You will be entitled to 25 days plus any statutory bank/public holidays. Our holiday year runs from 1st April to 31st March.
