Position Summary:
The Finance Assistant is responsible for assisting in the management of daily financial records, transactions, and reporting.
Key Responsibilities
The Finance Assistant;
- Make all payments in accordance with RI finance procedures and finance checklist:- Review supporting documents for each payment to ensure completeness before payment is done and prepare payments vouchers for every payment.
- Make sure that expenditures have been verified with the correct coding, approval (as per the Approval Matrix) before payment is processed.
- Daily capturing of Petty Cash, Bank and Working Cash Advance (WCA) transactions on Offline Spreadsheet and reconcile with the Petty Cash, Bank & WCA register balances and verify the balances with the actual physical balances on daily, monthly and on demand basis.
- Send weekly Cash book, Cash count, Salary/NSIFs Reconciliations and the updated WCA Tracker.
- To upload the staff with the Outstanding WCA and ensure the WCA has been settled by the staff with 7 working days once returned from the mission.
- Scan and upload all finance documents in the shared OneDrive monthly.
- To review the monthly documents and ensure that they are complete according the
- the Finance Checklist.
- Take a support role during internal and external audits of the field Operations
- and availing the necessary documents and also implement all the recommendations concerning finance.
- Plan and organize weekly and monthly cash counts and file signed records on cash count file.
- Ensures that the Field financial and related documents are properly filed in well labelled with correct information on each file box every month and to be ready at any time to be transferred to the central archives as needed.
- Ensure the effective and efficient use of all RI resources in order to keep costs low and ensure the security of staff. This includes spot checks and inventories as appropriate, as well as annual stock take procedures.
- To perform any other work/job as assigned by the Senior Finance Officer/Finance
- Manager/Coordinator/Area Manager.
Qualification and Minimum Requirements:
Applicants should;
- Diploma or degree in Finance, Accounting, or related field.
- Minimum 1-2 years of relevant work experience.
- basic knowledge of accounting principles
- Proficiency in tools like Excel or accounting software (e.g., QuickBooks)
- Strong numerical and analytical skills
- High level of accuracy and attention to detail
- Good organizational and time management skills
