SCOPE OF POSITION:

Reporting to the Deputy Director, HR, the HR Administrative Assistant supports the HR Unit by managing administrative tasks, maintaining accurate records, and assisting with general HR operations while ensuring efficiency and compliance with organizational policies. The role also provides general administrative support to the Finance and Operations departments as needed.


MAJOR RESPONSIBILITIES: (This is not an exhaustive list of duties to be performed)

  • Provide administrative support to the HR team as needed.
  • Assist with maintaining record management
  • Support Finance and Operations departments with general administrative tasks.
  • Support HR team with processes improvements
  • Assists the Deputy Director, Human Resources with ad hoc projects,
  • Schedule meetings, prepare meeting materials and assist with coordinating team events or training sessions;
  • Provide general support to the Finance & Operations department as needed;
  • Maintain data and files for department projects and contracts;
  • Support small projects or process improvement initiatives as assigned;
  • Other general office administrative tasks or office duties, as required.

REQUIRED KNOWLEDGE, EXPERIENCE & COMPETENCIES:

  • Currently pursuing degree in relevant field of study (such as Business, Human Resources Management) or equivalent education and experience;
  • Minimum of 1 year of experience working within an office environment;
  • Basic knowledge of document management, filing systems and data entry;
  • Understanding of confidentiality and proper handling of sensitive information
  • Able to work independently, as well as effectively in a team setting;
  • Adaptable, flexible, able to deal with a wide range of conflicting needs;
  • Knowledge of administrative practices and procedures including proficiency with word processing, spreadsheet, database, email, and the internet;
  • Commitment to global justice, women’s rights, gender equality and social change;
  • Willingness to sign and abide by the Oxfam Code of Conduct.

**This position is funded by the Government of Canada through the Canada Summer Jobs program.
