We are seeking a dedicated and passionate Program Coordinator, Administrative, Africa to join our International Education & Outreach team. As a part of the International Outreach and Education team, this part-time role of 20 hours per week works to coordinate the day-to-day administrative processes by providing essential support in documenting and tracking program impact, helping organize the documents and monitoring systems, and ensuring that the information is always updated and in line with our requirements.

Responsibilities

  • Maintain accurate and up-to-date Africa program resource files, records, and documentation.
  • Support Senior Program Manager and Africa team with tracking and documenting program expenses by processing payments to vendors and external partners to ensure timely and accurate scheduling of reimbursements and service payments following finance team protocols.
  • Serve as a liaison to external partners and other program payees regarding the payment process including ensuring the return of signed agreements and other needed documentation
  • Support the drafting of contracts and partnership agreements.
  • Track IEO program outputs, evaluation metrics, and results reporting in alignment with organizational goals and donor requirements.
  • Coordinate routine collection of quantitative and qualitative indicators of the impacts of Africa programs according to the program objectives and results framework.
  • Maintain a structured folder system for program media assets, including photos and videos, categorized by region, program, and activity, to ensure easy access and smooth reporting in collaboration with the Communications team.
  • Assist with in-person event administration in the Africa region when needed, including managing attendance sheets, compiling event reports, and coordinating per diem distribution.
  • Support the IEO team in organizing virtual events, including setting up webinars, managing participant registration, and preparing post-activity feedback forms.

Qualifications

  • Bachelorโ€™s degree in Social Sciences, Communications, Public Relations, or a related field
  • Fluent in English and French (required)
  • Experience working with international organizations or NGOs is highly desirable
  • Experience working with diverse populations and cross-cultural communication skills
  • Excellent problem-solving skills and ability to adapt to changing situations
  • Strong communication skills, both written and verbal
  • Ability to work both independently and as part of a collaborative team
  • Strong project management skills and problem-solving skills and the ability to adapt to changing situations

Compensation 

The Center uses an established compensation philosophy in administering compensation. Offers are determined based on candidate qualifications, related experience, internal equity, and the amount budgeted for the position.

All non-US salaries are calculated using an international conversion index, which includes estimates for comparable positions in the country of residence and the estimated cost of health insurance. We do offer paid leave benefits which include hours in recognition of local holidays, vacation, sick, parental, and bereavement leave. We do not offer health or retirement benefits for employees outside of the US.
