OVERVIEW


The role is within the Nonviolent Peaceforce Ukraine Country office (CO) to provide support and Logistics service to CO and Field teams. We are looking for someone with a passion for organization and accuracy looking to use their skills in complex administration, multi-tasking and problem-solving to make an impact on NP’s operational duties.


JOB SUMMARY


The Logistics Assistant is responsible for providing Logistics and Procurement support to NP Ukraine projects and operations at Country Office in Odesa. The main duties include, but are not limited to;

  • Purchase and payment requests,
  • Maintaining confidential documents and databases,
  • Following up on office supplies and services,
  • Following up on Request for Quotations (RFQs).


S/he is also responsible to conduct the procurement transactions in a manner to provide the best value and within established procurement policies. S/he will work directly with the Logistics team, Finance, Partnership team and Field teams.

This position reports directly to the Logistics Coordinator.

KEY RESPONSIBILITIES

Support to Logistics:

  • Assist in conducting procurement transactions in adherence to NP Ukraine's established policies and procedures.
  • Conduct market research and obtain quotations from suppliers to facilitate effective decision-making and improve vendor list.
  • Follow up on requests for quotations and ensure timely responses from vendors.
  • Support with monitoring and tracking the procurement process to ensure timely delivery of goods and services; update procurement tracker and follow up with relevant teams.
  • Maintain accurate and up-to-date records related to procurement activities.
  • Responsible for procurements that require bid analysis or tender.
  • Support FPOs and Logistics Officer within the procurement process, including tenders, bid analysis.
  • Ensure all procurement documentation is collated and PR tracker updated.
  • Support with asset management (registration, tracking on Salesforce, lead the implementation of asset management system, etc.) for NP.
  • Support for fleet management (collation of documentation, vehicle management).
  • Other logistics tasks upon request from the Logistic Coordinator.

Support to Administration:

  • Support Logistics team to ensure that all necessary documentation is stored in the respective files on SharePoint and hard copies stored with finance (e.g. bid analysis, documentation for payments, tracking of payments etc.).
  • Create, maintain, and update various databases to track periodic charges on a monthly basis (e.g. tracking sheets, procurement status report, lease contract, etc.).
  • Support payment requests and purchase office utilities on a monthly basis (e.g. rent, electricity, water, telephone, etc.) and ensure all supporting documents are submitted, accurate and comply with organizational guidelines/ policies/ frameworks.
  • Assist in handling day-to-day administrative tasks and office operations.
  • Other administrative support and back up for Logistic team as necessary.

QUALIFICATIONS

  • University diploma in Logistics or Administration.
  • Highly proficient in the use of Microsoft Office applications (Word & Excel, other applications) an asset. High level of computer literacy, knowledge of Salesforce is a significant benefit.

Skills and Competencies:

  • 1-2 years of experience in I/NGO administration, office management, procurement and/or logistics.
  • Strong communication skills, both written and verbal in English and Ukrainian.
  • Ability to work effectively in a team and independently.
  • Ability to manage information with discretion.
  • Ability to set priorities and work in multitasking environment.

Working Conditions:

  • This vacancy is for full time office job
  • The employment contract is for 2 months with possible extension.
