The Economist Events produces 70+ events a year. Our operations team is responsible for all event logistics and budget management, ensuring that financial targets are met and that events meet the expectations of our delegates and sponsors. Working closely with the Events Managers, the successful candidate will be based in Hong Kong and be responsible for the execution of our live events in Hong Kong, as well as supporting our virtual events.

The successful applicant should be a team player who is also confident operating independently and comfortable working in a regional setting. 

How you will contribute:

  • Project Management & Logistics: Execute seamlessly across virtual, hybrid, and live event formats. You will set, communicate, and maintain strict project timelines and priorities utilizing status reports, project management platforms, and regular stakeholder communications.
  • Financial Control: Take ownership of comprehensive event budgets spanning marketing, programming, and operations. You will manage direct costs, invoicing, and the accounts payable process, ensuring all events are delivered on time, within budget, and aligned with agreed-upon proposals.
  • Vendor & Stakeholder Management: Select, negotiate with, and manage external vendors (including AV, venues, catering, photographers, and temp agencies) while strictly adhering to budget constraints. You will also make strategic vendor and venue recommendations to the Global Head of Operations.
  • Client Relations: Cultivate and maintain long-term client relationships by consistently meeting or exceeding their expectations throughout the event lifecycle.
  • On-Site Execution: Lead on-site event management, which includes developing staffing plans, directing internal staff, and overseeing supplier deliverables to ensure a flawless attendee experience.

The ideal skills for this role are:

  • Experience: Three to five years of work experience in an events operation’s role, ideally with some agency background. Proven experience in developing and managing budgets is essential.
  • Education: A Diploma or Degree qualification in Business, Marketing, Communications, or a related discipline. Good level of project management, organizational and time management skills
  • Core Skills: Exceptional project management, organizational, and time management skills. You must have an excellent eye for detail, the ability to juggle multiple deadlines, and outstanding written and oral communication skills.
  • Tech Savviness: High comfort level navigating Microsoft and Google product suites. You should be technologically fluent, familiar with modern event tech stacks, and able to get up to speed quickly on new project management platforms.
  • Flexibility: A willingness to accommodate flexible working hours during peak event seasons and the ability to travel up to 20% of the time.
